Job Overview:
The Director of Facilities is responsible for overseeing the operational management and maintenance of all physical facilities across a five-campus charter school network. This role ensures that each campus is a safe, clean, and well-maintained environment for students, staff, and visitors. The Director will manage one Manager of Facilities, coordinate with external contractors, and collaborate with school leadership teams to ensure that the campuses meet all regulatory requirements, sustainability goals, and organizational standards.
Key Responsibilities:
- Facilities Operations & Maintenance:
- Oversee and execute the daily operation, maintenance, and repair of school buildings and grounds at all five campuses (combined ~175,000 square feet on ~13 acres)
- Develop and implement preventative maintenance schedules to minimize downtime and maximize operational efficiency
- Coordinate and oversee emergency repairs and respond to facilities-related issues in a timely and effective manner
- Ensure compliance with safety regulations, including OSHA standards, fire codes, and local health and safety codes
- Budgeting & Financial Management:
- Develop and manage the annual facilities budget, ensuring efficient allocation of resources across the campuses (approximately $420,000 annually)
- Track and report expenditures and savings, identifying opportunities for cost reductions without compromising quality or safety
- Oversee purchasing and procurement of student and staff furniture, equipment, and services, ensuring compliance with the school network’s procurement policies
- Capital Improvement & Renovations:
- Plan and manage capital improvement projects, such as building renovations, upgrades, and expansions, from inception to completion
- Coordinate with architects, contractors, vendors, and school and network leadership to ensure projects are completed on time, within budget, and to specifications
- Collaborate with school and network leadership to prioritize and align facility improvements with the network’s long-term strategic goals
- Vendor & Contractor Management:
- Establish and maintain relationships with external service providers and contractors for services such as janitorial, landscaping, security, plumbing and HVAC
- Negotiate contracts and service agreements, ensuring high-quality performance and adherence to timelines and budgets
- Monitor contractor performance, conduct site visits, and ensure work is completed to the network’s standards
- Compliance & Safety:
- Proactively ensure compliance with all local, state, and federal regulations related to building codes, health, safety, and environmental standards
- Ensure facilities are secure and prepared for emergency situations in accordance with fire codes and internal safety preparedness plans
- In collaboration with Assistant Principals of Operations, Oversee and maintain systems for secure building access including distribution, collection, activation, and deactivation of staff fobs and keys
- Conduct building walkthroughs to ensure fidelity of secured campuses and take corrective action as needed
- Maintain detailed records of facility inspections, safety audits, and any necessary corrective actions
- Staff Supervision & Leadership:
- Manage and supervise the Facilities Manager, ensuring high levels of performance and professionalism
- Provide training, development, and support for the Facilities Manager fostering a culture of accountability, teamwork, and continuous improvement
- Conduct performance reviews and establish goals for Facilities Manager to support individual and team growth
- Communication & Collaboration:
- Serve as the primary point of contact for facilities-related issues for school leadership teams
- Collaborate closely with school Principals, Assistant Principals of Operations, and the network operations team to align facilities needs with educational and operational goals
- Provide regular updates to the Director of School Operations and Assistant Principals of Operations on facilities status, project progress, and budget performance
- Minimum of 5 years of experience in facilities management, with at least 2 years in a leadership or management role, preferably in an educational or multi-site environment
- Strong understanding of building systems, maintenance processes, and regulatory requirements
- Proven experience in project management, budget management, and vendor negotiations
- Knowledge of sustainability practices and energy management
- Strong leadership skills with the ability to manage, motivate, and develop a team
- Excellent communication and interpersonal skills, with the ability to work effectively with a wide range of stakeholders
- Ability to prioritize, manage multiple projects simultaneously, and work under tight deadlines
- Proficiency in Microsoft Office Suite and facilities management software (e.g., SchoolDude, FMX, etc.)
- Preferred, but not required, Bachelor’s degree in Facilities Management, Construction Management, Engineering, or a related field
