What are the responsibilities and job description for the Human Resources Coordinator position at Vista Maria?
In accordance with the Agency’s Mission Statement, Code of Ethics, policies, and procedures, State of MI
licensing, contracts, and COA standards, the Human Resources Coordinator works collectively with various
members of the Human Resource team, with direct reporting to the Human Resources manager. This
position performs a variety of human resources administration functions including entering information into the
automated employee information system, maintaining files, and providing day-to-day resource information to
all employees. This position is also responsible for the HR reception office and performs administrative duties
to support the effective operations of all members of the Human Resources department.
TASKS OF THE POSITION
• Plans and organizes work to meet all job requirements according to agency and COA standards,
licensing, regulatory requirements, and federal and state laws.
• Regularly prepares for and participates in department and Agency meetings.
• Assists with benefits, open enrollment, and processing as needed.
• Assists with handling vendor issues, documenting and following up to obtain resolution.
• Maintains filing of all employee documents and conducts periodic audits of personnel files to ensure
accuracy and completeness as required.
• Sets up and maintain employee medical files and documentation.
• Manages office supply orders for all Human Resource department employees. Submits order
monitors the accuracy and reconciles orders once received.
• Manages apparel ordering and supply. Works collectively with vendors to maintain sufficient
supply.
• Maintains entry of data into the employee information system (e.g. credentials, employee
information changes, etc.)
• Assists with requested employee verification notices.
• Uses employee information system to extract data and information for reporting purposes as
needed.
• Coordinates and conducts 90-day stay interviews with all new employees. Distributes information
obtained to the Manager of Talent Acquisition and Onboarding for reporting.
• Organizes employee and Board of Director floral requests as needed.
• Creates employee badges for new hire employees and/or replacement badges as needed.
• Receives and processes employee change notifications (e.g. direct deposit information, address or
personal information change, etc.)
• Assists with processing employee injury reports if needed.
• Provide general administrative services to support the effective operations of the Human Resources
reception office (including handling all switchboard communication)
• Maintains professional/technical knowledge through educational workshops, professional
publications, and personal/professional networks.
• Perform all other Human Resource or organizational duties as assigned.
• Maintains the highest levels of confidentiality/sensitivity to Human Resource related matters and
information.
KNOWLEDGE/SKILLS/ABILITIES
• Ability to use Microsoft products, including PPT, experience with HRIS and benefits databases
• Knowledge of all pertinent federal and state regulations, filing and compliance requirements.

QUALIFICATION (EDUCATION / TRAINING)
Minimum Required:
• Bachelor’s degree in human resources, Business Management, or a related discipline.
• Three (3) years of human resources experience.
• Demonstrated knowledge of local, state, and federal laws related to employment practices and
benefits.
• Must possess excellent verbal and written communication and presentation skills, outstanding
organizational skills, attention to detail, and a strong work ethic.
• Demonstrates computer literacy skills, proficient using MS Word, Excel, Learning Management
Systems, and PowerPoint.
• Ability to establish priorities and a course of action for handling multiple tasks.
• Maintains the normal standards of ethics, conduct, and organizational policies.
• Demonstrated skill in the administration of employee programs and record management.
• Demonstrated ability to interact positively in a dynamic culturally diverse environment.
• Demonstrated ability to maintain the highest level of confidentiality with employee information.
Preferred:
• Advance user of Excel, and MSWord.
