Based in Van Nuys or New York City, the role will be worked on a hybrid basis - office and home working.

As Proposals Coordinator and Sales Administrator, you’ll be reporting directly to the Proposals Manager based in the UKand supporting VistaJet’s North America sales team.

We’re looking for a dedicated, conscientious Sales Administrator to support the Program Sales team and to create bespoke, tailored sales proposals for our UHNW and corporate prospects.

- Preparing tailored sales proposals for the global Program Sales team, including accurately calculating and checking prices and financial comparisons before they are sent out.
- Preparing presentations and other sales collateral for the Program Sales team, ensuring that a consistent design aesthetic is maintained.
- Liaising with the Senior Proposals Coordinator to prioritise proposals accordingly and across multiple time zones.
- Liaising with Sales Vice Presidents to ensure all sales proposals which are sent out are followed up on.
- Regularly review all templates in the proposals library to ensure they remain current and fit for purpose.
- Working with the Email Marketing Specialist and Client Acquisition Specialist on digital marketing campaigns.
- Supporting the President of Sales, North America with travel schedules, expense claims and team admin.
- Ad-hoc team support and research assignments.
Excellent attention to detail, solid written and verbal communication skills and a sound grasp of numbers are essential.
You will need to be a quick-learner and be ready to adapt to the pace of this high-growth team.
- Experience using InDesign or similar design applications.
- Experience using Salesforce or similar CRM systems.
- Excellent numeracy skills.
- Excellent written and verbal communication skills.
- Good Microsoft Excel skills.
- Possesses an exceptional eye for detail and ability to prepare collateral that is tailored to every prospect while maintaining absolute accuracy.
- Design experience is preferred but isn’t essential.
- Knowledge of the business aviation industry is preferred but isn’t essential.
- A team player who is driven to driven to succeed and keep pace with a fast-moving sales team.
