Job Overview
We are seeking a highly organized and proactive Executive Assistant to support our CEO in a fast-paced environment. The ideal candidate will possess exceptional clerical skills, strong attention to detail, and the ability to manage multiple tasks efficiently. This role requires a blend of administrative expertise and personal assistant capabilities, ensuring that the CEO’s office runs smoothly and effectively.
Responsibilities
- Manage and organize the CEO's calendar, including scheduling meetings, appointments, travel arrangements and resolving any scheduling conflicts.
- Serve as the primary point of contact for internal and external communications, demonstrating excellent customer service skills.
- Draft, prepare and proofread documents, reports, board meeting notes and presentations to ensure accuracy and professionalism.
- Prepare Word, Excel , PowerPoint presentations, agendas, special projects and other documents in support of the objectives of the organization.
- Maintain sensitive matters with a high level of confidentiality and discretion.
- Attend meetings as needed and take and transcribe notes for distribution and follow up on tasks and projects assigned.
- Be responsive to emails/texts/telephone calls with contact both inside and outside of standard business hours.
- Organize and coordinate events, meetings, and conferences as needed.
- Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring calls to the appropriate department or staff member.
- Assist with office management tasks to ensure a productive work environment.
- Support the CEO with personal assistant duties, adhoc projects as assigned -such as personal events and/or family needs.
- Arrange travel and accommodations for CEO.
- Welcome the CEO's guests by greeting them, in person or via phone; answering and directing inquiries.
- Conserve the CEO's time by reading, researching, collecting and analyzing information as needed, in advance.
- Represent the company and the CEO in a positive light through outstanding follow-through skills and sound judgement.
Experience
- Proven experience as an Executive Assistant supporting C-Level; executives - 3 years.
- B.A. degree preferred.
- Flexible hours as dictated by the needs of the CEO and business.
- Excellent communication skills ability to interact with people on all levels in a confident, professional manner.
- Business sense- can decipher priorities and make sound judgement calls.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications.
- Excellent proofreading skills with a keen eye for detail in written communication.
- Familiarity with event planning processes is a plus.
- Experience in clerical tasks such as data entry, filing, and managing office supplies is essential.
- Ability to handle confidential information with integrity and professionalism.
