VitalSkin Dermatology is growing and we have opened a new position in our Urbana Pathology Lab.
We are seeking a detail-oriented and organized Administrative Assistant to support our Pathologist. This is a new role within our expanding laboratory team, and the job duties may evolve as the lab continues to grow. The ideal candidate will possess excellent administrative skills, a strong attention to detail, and the ability to manage multiple tasks efficiently within a fast-paced environment.
Key Responsibilities:
- Data Entry and Record-Keeping:
- Accurately enter patient diagnoses and additional tests required into the electronic medical records (EMR) system.
- Maintain organized and accurate files for pathology results, including electronic and physical filing of slides and reports.
- Transcription Duties:
- Transcribe pathology results and other related documentation with precision and clarity.
- Ensure all transcriptions are completed in a timely manner to facilitate prompt patient care.
- Communication Facilitation:
- Act as the primary point of contact between the pathology lab and the Pathologist, ensuring smooth and efficient communication.
- Coordinate the delivery and collection of pathology materials and ensure timely follow-up on tests and results.
- Administrative Support:
- Manage calendars, schedule appointments, and handle phone calls and correspondence related to pathology services.
- Assist the Pathologist in preparing reports and documents as necessary.
- Team Collaboration:
- Work closely with the pathology team and other medical staff to support departmental goals.
- Maintain confidentiality and professionalism in all interactions and documentation.
Qualifications:
- High school diploma or equivalent; an associate or bachelor's degree in a related field is preferred.
- Previous experience in a medical or laboratory setting is preferred.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with EMR systems.
- Strong keyboarding and transcription skills, with attention to detail.
- Excellent organizational and multitasking abilities.
- Strong communication skills, both written and verbal.
- Ability to maintain confidentiality and work independently.
- Knowledge of HIPAA regulations and compliance is essential.
- Ability to work in a fast-paced environment and move back and forth between the lab and the Pathologist's office numerous times throughout the day.
Qualifications Guidelines
Education/Training/Experience Required:
High school graduate or equivalent.
Desirable:
Secretarial or clerical, previous medical billing, and data processing experience.
Knowledge:
- Basic computer and work processing applications
- Understanding of medical terminology
- Understanding of anatomy and physiology
- Client care, QA, and safety practices
- Data processing and billing principles and techniques
Skills/Abilities:
- Operate a personal computer including word processing
- Type a minimum of 60 wpm
- Accurate spelling, grammar, and punctuation
- Operate dictation equipment, microfiche, copiers, calculators, multi-line telephone, and facsimile equipment
- Schedule, organize and complete work in accordance with company deadlines
- Understand and follow specifications and instruction
- Communicate effectively and work cooperatively with staff, management, and external customer
