Viterbo University is looking to hire a full-time Business Office Coordinator. This role will be at the heart of delivering our mission by providing exceptional customer service to our students, staff, and faculty. This role offers a unique opportunity to make a direct impact, assisting students and parents with tuition and financial concerns, all while ensuring compliance with FERPA laws.
In addition to these primary responsibilities, you will also handle third-party invoicing and document management, contributing to the smooth operations of our Business Office. Responsibilities:
- Business Office Window / Cash receipting - including student payments, third party payments, departmental deposits, reconciling cash drawer, petty cash and preparing bank deposits
- Financial Aid / Billing inquiries - answering student/parent/staff questions as needed and directing other inquiries to the appropriate department
- Third Party billing - working with various departments and external partners to create invoices and process payments
- Coordinating the distribution and sale of parking permits; maintaining logs of permits, fines and tickets; placing/releasing holds on student accounts
- Ordering and maintaining inventory of office supplies
- Generating and distributing student refund checks
- Maintaining a record of accounts placed at collection agencies
- Perform other duties as assigned
Qualifications:
- Associate's degree in accounting or related field preferred.
- Experience in a customer service-based support role or related area required.
- Accounts Receivable and cash handling experience preferred.
- Excellent written and verbal communication skills.
- Excellent interpersonal and customer service skills.
- Excellent organizational skills.
- Proactive approach to problem-solving and process improvement.
