Job Summary

We are seeking a Front Desk Receptionist who is professional, personable, and highly organized to join our growing team. As the first point of contact for our clinic, you will play a vital role in creating a welcoming, efficient, and professional atmosphere for our patients and visitors. The ideal candidate will possess outstanding communication skills, attention to detail, and a strong ability to multitask in a fast-paced environment.

Key Responsibilities

  • Client Interaction: Greet and welcome patients, visitors, and clients in a friendly and professional manner, ensuring a positive first impression.
  • Phone & Email Management: Answer phone calls promptly, take accurate messages, and route calls as needed. Respond to patient inquiries via email or phone with a professional, courteous tone.
  • Appointment Scheduling: Manage appointments efficiently by scheduling, confirming, and rescheduling as necessary. Maintain an organized calendar to avoid conflicts and ensure smooth operations.
  • Administrative Support: Assist with general clerical duties, including filing, photocopying, faxing, and organizing patient files.
  • Project Coordination: Support office projects and assist with project management tasks as required by the team.
  • Document Management: Proofread and prepare documents for accuracy and completeness. Ensure all paperwork is properly filed and accessible.
  • Mail & Package Handling: Manage incoming and outgoing mail, packages, and deliveries promptly.
  • Reception Area Maintenance: Keep the reception area clean, organized, and presentable at all times to provide a welcoming environment for patients and visitors.
  • Inventory Management: Track and manage the clinic’s office supplies, ensuring stock levels are adequate.
  • Financial Processing: Process patient payments and assist with billing inquiries as necessary.
  • Sales Support: Participate in clinic promotional activities and provide assistance with sales as needed, including handling sales incentives.

Required Qualifications

  • Experience: Previous experience as a receptionist or in a similar administrative role is preferred, with a focus on customer service.
  • Bilingual: Proficiency in both Spanish and English is a must.
  • Technical Skills: Strong computer proficiency, including experience with Microsoft Office Suite (Word, Excel, Outlook). Familiarity with Google Suite is a plus. Knowledge of Salesforce CRM is highly desirable.
  • Communication: Exceptional verbal and written communication skills. Ability to interact with patients and staff in a clear, professional, and friendly manner.
  • Multitasking: Strong organizational and time management skills with the ability to prioritize and handle multiple tasks simultaneously.
  • Medical Office Experience: Experience working in a healthcare or medical office environment is preferred, with knowledge of HIPAA and OSHA guidelines a plus.
  • Confidentiality: Ability to maintain confidentiality and handle sensitive patient information with discretion.
  • Customer Service: Professional phone etiquette and outstanding customer service skills.
  • Sales Incentives: Ability to contribute to clinic goals with sales-related incentives in addition to hourly salary.

Sales Incentives are available in addition to your hourly wage, providing the opportunity to earn more based on performance.

Job Type: Full-time

Pay: $18.00 - $19.00 per hour

Expected hours: 40 per week
