What are the responsibilities and job description for the Office Administrator position at Vivid Tax & Wealth Advisors?
Vivid Tax & Wealth Advisors is looking for an Administrative Assistant whose duties include scheduling, office management and marketing support, all while providing polite and professional assistance to our staff and clients.
Duties for this position include, but are not limited to:
- Build rapport with clients to ensure retention and a positive experience with the company
- Complete outbound appointment reminder, birthday, client reviews and rescheduling calls as directed
- Answer and screen all inbound phone calls and route to the appropriate party
- Providing real-time scheduling support by booking appointments and preventing conflicts- Greet and assist visitors with polite and professional demeanor
- Organize office supplies, mail, and light office cleaning as needed
- Handling office tasks, such as scanning/filing, generating reports and presentations, setting up for meetings, and reordering supplies
- Process/scan client paperwork and documents client interactions, faxes and other interactions/payments, and process advisor notes as needed in CRM and other required systems
- Process new sales leads for internal and external agents
- Add new sales leads into company CRM following system guidelines
- Manage travel arrangements, internal employee events, and support client appreciation event(s) planning as needed
- Manage/create marketing/seminar materials as needed
- Maintain polite and professional communication via phone, e-mail, and mail
- Support Vivid Tax Center preparer for completion of clients’ annual tax returns
- Other duties as assigned
Requirements:
- High school diploma required
- Associate’s degree or prior admin experience preferred, not required
- Experience in financial services preferred, not required
- Attention to detail and ability to multi-task
- Excellent written and verbal communication skills
Job Type: Full-time
Pay: $18.00 - $22.00 per hour
