Job Summary:
We are seeking a friendly, organized, and detail-oriented Medical Receptionist to be the first point of contact for our growing practice. The ideal candidate will play a crucial role in creating a positive and efficient experience for our patients, both in person and over the phone. This role encompasses a range of administrative and patient-facing responsibilities, requiring excellent communication skills, a professional demeanor, and a strong commitment to patient satisfaction. Responsibilities:
Patient Interaction and Front Desk Management:
- Serve as the first point of contact for patients, greeting them warmly and professionally in person and on the phone.
- Manage the front desk area, ensuring it is welcoming, organized, and efficient.
- Answer and direct phone calls, take messages accurately, and handle patient inquiries with courtesy and professionalism.
- Schedule and confirm patient appointments, follow-ups, and referrals accurately and efficiently.
- Verify patient insurance information and process co-payments and payments according to office policies.
- Assist patients with completing necessary forms and paperwork.
- Maintain patient confidentiality in accordance with HIPAA guidelines.
- Manage patient flow, ensuring efficient check-in and check-out processes.
- Address patient concerns and escalate issues to the appropriate personnel when necessary.
Administrative Duties:
- Maintain accurate and up-to-date patient demographic and insurance information in the electronic health record (EHR) system.
- Assist with the processing of referrals, prior authorizations, and other administrative tasks as needed.
- Manage incoming and outgoing mail, faxes, and electronic communications.
- Maintain office supplies and ensure the reception area is well-stocked.
- Assist with administrative tasks as needed, including filing, scanning, and data entry.
- Ensure the waiting area is clean, comfortable, and organized.
Team Collaboration and Communication:
- Establish and maintain effective communication with other team members, including physicians, nurses, medical assistants, and administrative staff, to ensure smooth workflow and patient care.
- Work in conjunction with the attending physician, NP/PA, and medical assistants to facilitate efficient patient flow.
- Maintain a high level of accuracy in all clinic business and patient process flow functions.
- Contribute to a positive and collaborative team environment.
Qualifications:
- Proven experience working as a receptionist, preferably in a medical office setting.
- Familiarity with medical terminology, insurance processes, and HIPAA regulations is a plus.
- Proficiency in basic computer skills and EHR systems.
- Excellent verbal and written communication skills.
- Strong organizational and time-management skills with the ability to multitask
- Exceptional customer service and interpersonal skills with a patient-centered approach.
- Ability to maintain a professional and courteous demeanor in a busy environment.
- High school diploma or equivalent required; Associate's degree or relevant certification is a plus.
- Experience with scheduling software and multi-line phone systems.
