The Opportunity
The Medical Receptionist is a key member of the patient experience team, responsible for creating a welcoming and organized front desk environment while supporting clinical operations with impeccable attention to detail. This role is ideal for someone who is service-oriented, tech-savvy, and ready to take full ownership of reception, check-in, scheduling, and payment workflows.

You’ll be the first and last impression for every patient who walks through our doors—and we expect that impression to reflect warmth, professionalism, and operational excellence.

What You'll Do

  • Reception & Patient Experience: As the first point of contact, you'll greet every patient with warmth and professionalism, assist with kiosk check-in, and ensure their contact and insurance information is current. You’ll maintain a tidy, welcoming reception space and guide patients to the correct waiting area and restroom facilities as needed.
  • Patient Check-In: You’ll handle patient check-in through our EHR system, update appointment statuses to notify the Care Team, and collect or scan insurance cards, photo IDs, and necessary forms. For late arrivals, you’ll communicate our policy and assist with rescheduling when appropriate.
  • Patient Payments: You’ll be responsible for collecting payments—including copays, deductibles, and self-pay fees. You'll verify insurance eligibility, reconcile payments with CPT codes, collect outstanding balances, and help patients understand their financial responsibility, especially those with high-deductible plans.
  • Patient Check-Out: Before patients leave, you’ll schedule follow-up appointments based on provider notes, ensure portal access is set up, gather feedback on their visit, and complete any remaining billing or administrative tasks.
  • Schedule Management: You’ll review schedules in advance to confirm visit types, lengths, and insurance accuracy. You’ll reach out to patients to resolve missing referrals or other issues, adjust appointments due to provider changes or inclement weather, and ensure the calendar is optimized for booking efficiency.
  • Communication Support: You’ll respond to overflow calls, voicemails, and SMS messages. You’ll route patient questions to the right team member and upload necessary documents or create tasks for clinicians as needed.

Who You Are

Must-Haves:

  • 3 years of continuous experience in a fast-paced medical receptionist or front desk role
  • Ability to commute to the office in under 30 minutes reliably
  • Strong grasp of patient-facing medical software (e.g., EHR systems like DrChrono)
  • Experience with billing workflows and insurance eligibility verification
  • High comfort level with tech platforms and multitasking in real-time
