Administrative Assistant
Veterans Management Services, Inc. (VMSI) is seeking an experienced Administrative Assistant who thrives in a small to mid-sized company environment. This role provides administrative and employee relations support, offering a unique opportunity to make a meaningful impact on both the company and our employees’ success.
The Administrative Assistant will be an integral part of the corporate team, interacting daily with corporate staff, client-facing employees, and customers nationwide. This position is based at our Sterling VA headquarters and reports directly to the senior leadership team.

POSITION RESPONSIBILITIES:
- Provide administrative support to all corporate departments.
- Facilitate the communication needs of projects/programs, including extensive interaction with clients and staff in multiple remote locations.
- Set up and oversee administrative policies and procedures for the office.
- Act as the primary POC for all employee questions.
- Create and maintain processes, documents, and repositories.
- Develop various reports for both internal and external customers.
- Prepare employee correspondence.
- Conduct research, compile data, and prepare information on various systems and/or companies.
- Maintain employee data in various human resources software applications and update candidate status in the applicant tracking system.
- Assist with staff on boarding and orientations, including interfacing with new employees and human resources personnel.
- Support employee morale programs.
- Coordinate and track employee professional development and completion of required annual training programs.
- Assist with the administration of VMSI’s company compliance program requirements.
- Help manage and administer all performance, outreach, and recognition programs.
- Coordinate and facilitate arrangements for meetings and events.
- Maintain supply inventory by checking stock, anticipating supply needs, placing and expediting orders, and verifying receipt of supplies.
- Ensure operation of equipment by completing preventive maintenance, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.
REQUIREMENTS:

Required:
- Prior/Current experience working in a small to mid-sized company.
- Minimum of 5 years of applicable and progressive experience in a customer or employee support role.
- Experience in reading, interpreting, and applying rules, regulations, and policies to ensure compliance with requirements.
- Proficiency in Microsoft Office Suite, including Word, Outlook, Excel, and PowerPoint.
- Excellent verbal and written communication skills.
