The Administrative Support Specialist will provide comprehensive office management and administrative support for the Air Warfare Division (OPNAV N98) at the Pentagon. This role coordinates executive schedules, manages official correspondence, assists in security processes, and supports office operations. This role will work directly with senior leadership and government personnel, ensuring efficient office workflow and compliance with Navy administrative policies and security regulations. This position requires an organized and proactive professional with experience in government office administration.
This position is contingent upon contract award. Employment will be subject to TSI securing the contract.
Essential Functions
Administrative & Office Management Support
- Assist in managing office communication, including answering phones, sorting mail, and scheduling meetings.
- Maintain and coordinate appointment calendars, conference room reservations, and virtual meetings (VTC, audio bridge, etc.).
- Prepare, edit, and format official correspondence, directives, memoranda, and reports.
- Develop graphical presentations, spreadsheets, and briefings for leadership review.
- Manage office supply inventory and place requisitions for necessary equipment and materials.
- Support the onboarding and out-processing of personnel, ensuring compliance with government policies.
Security & Compliance Assistance
- Assist with classified document control and disposal procedures, ensuring compliance with Navy regulations.
- Maintain security logs and support the tracking of classified materials and facility access records.
- Escort visitors and unassigned personnel in restricted office areas.
- Monitor and implement security protocols related to classified document management.
Meeting & Event Coordination
- Assist in preparing agendas, meeting minutes, and action item trackers for high-level meetings.
- Provide multimedia and audiovisual support for conferences, ensuring smooth operation of presentation systems.
- Arrange travel orders, lodging, and transportation coordination using the Defense Travel System (DTS).
- Archive and store historical documentation and personnel listings for record-keeping.
Required Qualifications
- 5 years of experience in business services, administrative support, or office management.
- Proficiency in Microsoft 365 applications (Excel, Word, PowerPoint, Teams, and SharePoint).
- Experience managing classified documents and supporting security processes.
- Ability to draft and edit high-level correspondence for senior leadership.
- Strong organizational and time management skills to handle multiple priorities effectively.
- Active or ability to obtain a SECRET security clearance.
Preferred Qualifications
- Experience supporting OPNAV, DoD, or military executive offices.
- Knowledge of Pentagon administrative policies and government security protocols.
- Experience with Defense Travel System (DTS), Area Access Management (AAM) system, and Naval Message System (C20IX).
- Familiarity with classified document handling procedures and disposal methods.
