TITLE : Procurement Manager.
REPORTS TO : Executive Vice President / Chief Operating Officer.
POSITION SUMMARY : The Procurement Manager is responsible for all procurement activities of the organization and for ensuring that VIP follows all aspects of its procurement policies as approved by VIP's Board of Directors and funder's requirements or restrictions.
The Procurement Manager ensures that VIP obtains quality products for competitive prices in a timely manner. The Procurement Manager plays an integral role in ensuring that the organization sticks to budgets and operates profitably and that all contracts are tracked and re-bid in conformance with VIP's Procurement Policy.
The ultimate long-term goals of the procurement function is cost savings, spend control and workflow efficiency.
RESPONSIBILITIES :
- Contracts Management.
- Liaises with key company employees to determine their product and service needs.
- Develops par levels for departments.
- Monitors business trends and product availability to pay the best price for goods and services without sacrificing quality or delivery times.
- Nurtures relationships with suppliers to negotiate the best prices for VIP.
- Identifies and researches potential new suppliers.
- Maintains inventory of supplies for all facilities.
- Deals with disposal of obsolete materials.
- Maintains fixed asset inventory schedule.
- Research new products and services to meet VIP's goals.
- Assesses total costs of VIP's purchases.
- Develops and implements strategies for procuring, storing, and distributing goods or services and maintaining stock levels.
- Sources and interviews vendors; negotiates contracts and costs.
- Recommends new processes or systems for improvement; implement new ideas and strategies.
- Communicates with vendors, clients, customers, team members, and managers to align goals.
- Prepares regular analytical reports relative to purchasing activity and pricing trends.
- Works in close collaboration with the Finance and Legal Departments.
- Supervises support staff within the procurement department.
- Ensures Safety Data Sheets (SDS) are obtained for all containers that come to the facility.
