Position Summary:
This position is responsible for accurately recording, acknowledging, and maintaining Voices For Children Foundation’s donor and constituent data, as well as processing donations and managing associated financial records. The role requires close collaboration with the Development and Finance teams to ensure efficiency, accuracy, and timeliness in donor data management, all while following best practices to maintain data integrity. This position plays a critical role in ensuring donor satisfaction through timely acknowledgments and maintaining the integrity of donation records. Additionally, this role requires tracking, invoicing, and following up on outstanding pledges and development accounts receivable (AR), ensuring timely collection and reconciliation. A strong donor-focused and customer service-oriented approach is essential to maintain positive relationships with supporters.
Core Responsibilities:
Gift Processing and Financial Reconciliation
- Oversee the accurate entry and timely processing of all donation data, adhering to best practices for gift processing.
- Process and deposit checks within 24 hours of receipt.
- Handle credit card donations, ACH transfers, pledges, recurring gifts, and in-kind contributions across multiple software platforms.
- Manage fund accounts by coordinating with the Finance Department to create and maintain General Ledger (GL) funds following auditing procedures and donor agreements.
- Verify and update donor biographical and entity information from various sources such as donation batches, outreach campaigns, and other data requests.
- Reconcile daily and monthly donation records with the Finance Department, following established audit procedures.
- Process refunds and maintain accurate records for reconciliation and reporting purposes.
- Manage corporate matching gift processes, ensuring timely submissions and follow-ups.
- Produce audit and financial reports as needed for the Finance Department.
- Track, invoice, and follow up on any outstanding pledges and development accounts receivable (AR), ensuring timely collection and reconciliation.
Donor Acknowledgment and Communication
- Generate and send timely gift receipts to donors within 48 hours of donation receipt.
- Create and manage online donation forms to facilitate online giving.
- Prepare and distribute donor acknowledgment letters, pledge reminders, and recognition correspondence using mail merge or other tools.
- Respond to donor inquiries and requests, ensuring professional and timely communication.
- Assist in maintaining strong relationships with donors by ensuring accurate data entry and personalized acknowledgments.
- Approach all donor interactions with a customer service mindset, ensuring a positive experience for all supporters.
Administrative and Operational Support
- Document and update gift processing workflows and procedures for the Development and Advancement Services teams.
- Assist in implementing new systems and workflows to enhance efficiency and data integrity.
- Coordinate event registration through event management software and maintain associated reports.
- Generate giving reports for various stakeholders, including fundraisers, board members, and external entities.
- Provide support for special projects and other administrative tasks as assigned.
- Serve as a backup for expense reporting and processing as needed.
Required Qualifications
- Bachelor’s degree is preferred with focus in finance or accounting
- Exceptional analytical and problem-solving skills.
- Strong written and verbal communication abilities, with excellent interpersonal skills.
- Proven organizational and time management skills, with the ability to handle multiple tasks and meet deadlines.
- Ability to work both independently and collaboratively with diverse teams.
- Proficiency with donor management software, event management tools, and financial reconciliation systems.
- Attention to detail and a commitment to maintaining data accuracy.
- A willingness to work occasional overtime, including weekends and holidays, as needed.
- Strong customer service skills, with an emphasis on donor stewardship and relationship management.
