SUMMARY:
The EHR Management Specialist is responsible for guiding implementation and maintaining the Electronic Health Record (EHR) system including providing training and ongoing support to end-users across multiple sites. This role involves managing the EHR Support Ticketing system, user access, and ensuring the system meets the organization's needs through proper implementation, configuration, and continuous improvement. The EHR Management Specialist position at Volunteers of America Michigan is an at-will position that reports directly to the Vice President of Healthcare.
ESSENTIAL JOB FUNCTIONS:
- Oversee the implementation process for a new EHR platform including managing and tracking the implementation timeline.
- Conduct in-depth analysis of workflows, data collection, and report details to optimize system functionality.
- Build and configure data fields, screens, templates, and user-defined functionality.
- Develop and facilitate training materials to ensure accurate and efficient use of the EHR system.
- Provide effective end-user support and training, both in groups and individually
- Maintain and support the EHR system, ensuring it aligns with the organization's business processes.
- Create and manage the EHR Support Ticketing system and user access.
- Collaborate with software vendors to address system issues, performance, and request new features.
- Investigate and resolve technical issues with the EHR system.
- Act as a liaison between IT, clinical staff, and program leadership to optimize EHR implementations based on clinical workflow redesign.
- Lead communication efforts to ensure smooth adoption of new processes and systems.
- Identify and address resistance to change, ensuring a positive implementation experience.
- Collect and analyze data to support evaluations and business intelligence reporting.

REQUIRED KNOWLEDGE. SKILLS AND ABILITIES
- Bachelor's degree in Healthcare Administration, Computer Science, Social Work, Public Health, or a related field. An Associate's degree with commensurate experience will also be considered.
- Minimum of 2 years of experience in electronic health record systems within social services or healthcare settings, or similar.
- Proven experience in project management, including planning, execution, and stakeholder coordination.
- Strong skills in data management and analysis using tools like Excel or SQL.
- Experience with business intelligence tools such as Microsoft Power BI.
PREFERRED QUALIFICATIONS
- Experience in behavioral health or human services, either in a clinical or administrative role, is highly valued.
- Certification in relevant areas such as database administration, data analysis, or system configuration.
- Proficiency with client record platforms such as Welligent or similar systems.
- Experience in building knowledge base documentation.
- Experience with medical billing software and processes, especially in behavioral health, is a plus.
- Non-profit experience is a plus.

Environmental Working Requirements: Work is done in either an on-site or remote office environment with exposure to computer screens. Works closely with Managers and Directors within the Healthcare and Social Services Departments. Interacts with a diverse public. May be subjected to interruptions throughout the day. May be subject to hostile and/or emotionally upset public. May be required to travel to remote sites to perform job duties. Travel requirements may be up to 50%.
Other Requirements: Must maintain a valid Michigan driver’s license and driving record that satisfies insurability requirements.
