Job Summary

Seeking a part-time Receptionist/Office Assistant for a busy Financial Services Firm approximately 25 hours a week. Some flexibility required. Work schedule is approx (times may fluctuate) Mon-Thurs 9:30am to 3pm and Friday, 11:00 to 4pm. Opportunity to earn extra hours by covering vacations and other leave.

The ideal candidate should be dependable, detail oriented, possess excellent customer service, verbal and written skills and be flexible. Must be able to perform multiple tasks in a busy office with high customer service demands.

Clerical reception responsibilities include but not limited to:

Answering the phone for the building.

  • Must be pleasant and show discretion at all times.
  • Must be able to handle multiple lines at once.

Greeting Clients in the office.

Maintaining the Coffee/Beverage Station.

Scanning and Processing Paperwork

Processing incoming and outgoing mail and preparing packages to be mailed.

General maintenance of the common areas; conference rooms, copy room, bathrooms and kitchen.

Some data entry skills and be proficient in Microsoft software programs including Word, and Excel with the ability to learn new programs quickly. Publisher and Adobe Photoshop is a plus.

Requirements:

  • High school diploma or equivalent combination of education, training or experience.
  • Must be detail oriented and organized.
  • Must be able to communicate effectively verbally and in writing.
  • Present self in a neat, clean and professional manner at all times throughout the workday and/or whenever present at the community.
  • Successfully pass a background test, be able to be fingerprinted and become a notary.
  • After 1 year of employment; eligible for Simple IRA plan and vacation based on average hours of worked per week.

Required education:

  • High school or equivalent

Preferred experience:

  • Office Administration: 1 year
