Overview
This role provides a broad range of support functions, combining sales execution, administrative, and recruitment duties within a district network office. This role requires a high degree of organization, attention to detail, commitment to follow-through, and effective communication skills.
General Responsibilities
The Recruiting & Operations Coordinator ensures the smooth operation of administrative tasks, supports financial representatives, and assists the recruiting team as they attract and onboard new talent.
Key Responsibilities
Operations and Administrative Support:
- Visitor and Call Management:
- Greet visitors and direct them appropriately
- Answer, screen, and record telephone calls
- Mail and Office Maintenance:
- Process incoming and outgoing mail; deliver outgoing mail to the Post Office
- Maintain the reception area
- Make copies, send and distribute faxes, and maintain copy and fax machines
- Maintain inventory and order office supplies as needed
- Administrative Projects:
- Provide administrative support for financial representatives and staff as needed
- Complete and/or assist with projects as assigned by the Office Manager or Director of Operations
- Cross-train in other support roles
Recruiting & Selection Support:
- Track and update recruitment pipeline files
- Communicate with candidates through each step of the selection process
- Coordinate community events and campus career fairs
- Schedule and reschedule interviews as needed
- Prepare recruiting activity and tracking reports
- Support all leadership team members to facilitate the recruitment process
- Source resumes from job boards and create referral lists via social media (LinkedIn, Facebook, etc.)
- Utilize the applicant tracking system to update the candidate database
Contract License and Registration Support
- Using Home Office systems, administer, input, track and follow-up on requirements and appropriate paperwork for contracting, licensing or registration of personnel. This includes new personnel, changes to existing personnel or termination of personnel.
- Provides information on the technical requirements of the contracting, licensing and registration process to appropriate personnel.
- Act as liaison between the Network Office and Home Office throughout the entire contracting, licensing and registration processes.
- Act as liaison between the Network Office and background investigation company for requesting and follow up of inspection reports. Flag findings to the Managing Partner and/or Director of Network Office Supervision for determining appropriate action.
- Act as liaison between the Network Office and the Insurance Departments for scheduling exams.
- Schedule and track licensing or registration education or exam requirements, to include continuing education, for industry or Home Office courses. Provide successful course completion information to the Home Office or outside vendors.
- As appropriate, facilitate and track requirements of non-resident licensing requirements.
- Track Associated Persons in appropriate systems to identify new personnel, changes in existing personnel and terminations.
Qualifications
- Two years of recent administrative support experience
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel)
- Strong customer relationship and customer service skills
- Strong organizational, analytical, problem-solving, written, and verbal communication skills
- Attention to detail, accuracy, and reliability
- Ability to thrive in a fast-paced environment and work well with others
- Professional office skills and a commitment to professional development (e.g., licensing, registration, designations)
- Demonstrated ability to work effectively as a team member and with individuals at all levels
- Flexibility and open-mindedness, plus the ability to take independent action and make sound decisions
