Overview:
Are you a customer service rockstar with a passion for keeping things running smoothly? We’re looking for an energetic and detail-oriented Office Administrator to support our vibrant office in California, Maryland. In this dynamic, 100% onsite role, you’ll be the go-to person ensuring everything flows seamlessly and our team is supported every step of the way. If you thrive in a fast-paced environment and love problem-solving, this is the opportunity for you!
Responsibilities:
  • Provide administrative support to senior staff, and other staff as directed, in a fast-moving, ever-changing environment. This will require the use and knowledge of applications such as, but not limited to MS Word, Excel and PowerPoint.
  • Ensure all visitors sign in and are issued a badge.
  • Answer all phone calls- screen and direct calls accordingly.
  • Maintain multiple conference room calendars as well as provide resources needed for meeting to take place.
  • Coordinate shipping logistics and package deliveries.
  • Provide assistance to event planning.
  • Purchase and maintain inventory of office supplies and snacks for multiple office locations. This will require the use and understanding of online ordering through our databases and sources.
  • Other supplies may be needed for on-site conferences, meetings, etc.
  • Work closely with Building Manager, Engineer, and Security to maintain a safe and efficient workable space.
  • Support the recruitment process as needed.
  • Attend meetings accordingly.
  • Maintain a welcoming, comfortable, organized environment for employees and visitors.
  • Other duties as assigned.
Qualifications:
  • Bachelor’s degree required or equivalent, relevant experience may be able to substitute for degree.
  • At least five (5) or more years of experience in a professional office environment or customer service preferred.
  • Ability to hold an active Secret clearance.
  • Ability to interact effectively with people at all levels of the organization.
  • Effective communication skills.
  • Strong Microsoft Office skills (Word, Excel, PowerPoint and Outlook).
  • Able to work independently.
  • Positive attitude with excellent customer service skills.
  • Strong work ethic and ability to thrive in a fast-paced environment.
  • Previously provided administrative support in a government contractor setting preferred.
