ASSISTANT TO THE ASSOCIATE DEANS OF NURSING & HEALTH SCIENCES
NON-BARGAINING UNIT
GRADE 11
BASIC FUNCTION:
To manage, coordinate and carry out a variety of key administrative functions for the Associate Dean of Nursing & Health Sciences; to support and manage personnel processes for the School of Nursing & Health Sciences; to oversee and coordinate functions and projects related to the nursing & health sciences department.
CHARACTERISTIC DUTIES & RESPONSIBILITIES:
- Plan, coordinate and carry out all daily activities/operations related to assigned administrative functions within the office.
- Maintains program records, databases, and reports; including but not limited to clinical clearance records, clinical contracts, and skills validations and completion certifications.
- Perform and oversee functions related to nursing staff, including: coordinate searches; prepare contract information; prepare orientation materials, and to maintain other significant information.
- Assists the Associate Deans in meeting regulatory and accreditation requirements primarily related to clinical operations including the collection and analysis of data and the development of reports.
- Develops and maintains positive relationships with actual and potential communities of interest including students, potential students, agents of the University, department personnel, clinical affiliates, cooperating agencies, community groups and agency personnel.
- Assist with regular secretarial duties for the nursing department; answer phones and carry out standard reception tasks; prepare correspondence, reports, etc.; order office supplies; maintain appointment calendars; screen and distribute mail; photocopy; set up meetings; and the like.
- Serves on various nursing department committees.
- Maintain schedule of meetings and evaluation process of Associate Deans of Nursing & Health Sciences direct reports.
- Coordinate, initiate, prepare, process, and/or monitor a variety of forms, records, schedules, reports, and other documents related to assigned administrative functions, ensuring timely and accurate completion/review of documents by department/college personnel, students, parents, and/or individuals outside of the college.
- Assist with departmental budget planning and tracking, including prepare and maintain monthly reports and others as assigned.
- Maintain confidentiality of records and information related to the office.
- Perform related duties as assigned.
SUPERVISION RECEIVED:
Primary supervision is received from the Associate Dean of Nursing & Health Sciences.
MINIMUM QUALIFICATIONS:
Associate’s degree in an appropriate discipline plus five to six years of relevant administrative experience, or a combination of education and experience from comparable knowledge and skills are acquired.
- Strong planning, administrative, communication and organizational research, writing and computer skills.
- Experience in office management, organizing and coordinating meetings and special events.
- Experience in organizing and maintaining moderately complex information systems and activities and the ability to oversee a complex variety of functions.
- Experience in organizing and maintaining moderately complex filing and record keeping systems, including strong experience with computerized information systems, especially spreadsheets.
- Strong understanding of higher education personnel functions, organizational structure and administrative operations.
- Ability to multitask and work effectively under deadlines and with multiple interruptions.
- Ability to manage multiple tasks and receive direction from several people. Able to prioritize and work independently.
- Ability to represent the College to and deal effectively with a wide variety of individuals inside and outside of the College.
