Job Summary
We are seeking a highly organized and detail-oriented Event Coordinator to join our team. The ideal candidate will have a passion for event planning and a strong background in hospitality. This role involves managing all aspects of event coordination, from conception to execution, ensuring that every event runs smoothly and meets the expectations of our clients. The Event Coordinator will work closely with vendors, clients, and team members to create memorable experiences. This role also supports per-event activities including facility tours, booking management, executing client requests, and contract support. This role is active and highly visible. Responsibilities
- Plan, coordinate, and execute events such as weddings, corporate meetings, fundraisers, and banquets.
- Collaborate with clients to understand their vision and requirements for each event.
- Negotiate contracts with vendors including catering, venues, and entertainment services.
- Manage event budgets, ensuring that all expenses are tracked and kept within limits.
- Oversee logistics including venue selection, guest services, setup, and breakdown of events.
- Coordinate with hotel staff and other service providers to ensure seamless execution of events.
- Provide on-site management during events to address any issues that may arise.
- Conduct post-event evaluations to gather feedback and improve future events.
What it Takes to Succeed
- Excellent communication skills in written, verbal, and electronic formats
- Must be proficient in Microsoft applications including Word, Excel, Outlook, and PowerPoint
- Ability to work independently as well as in a team environment.
- Must be willing to work flexible hours, including evenings and weekends, to support events and facility rentals.
- Catering Sales, Sales, and Event Management Skills
- Experience driving customer satisfaction and managing customer service
- Ability to manage multiple tasks simultaneously
- Proven track record of meeting and exceeding sales targets
- 4 years of experience in catering sales and event management preferred.
- Experience in the hospitality industry is preferred
- Familiarity with TOAST POS and TripleSeat is a plus
