Job Summary:
W. O. Grubb Crane Rental is looking for an energetic professional to join our growing team in the role of Office Manager at our Castle Hayne, NC location. The primary responsibility of this role is to help us in running the office to support the great work our team is doing in the field.
THE ROLE. We need you to help us successfully close out the great work we do in the field. This role will be responsible for gathering data about our projects, both before and after we do the work, and turning that data into clear and accurate invoices to our customers. You will then follow up with the customers to verify accuracy of the invoices and obtain prompt payment from them. Additional back-office tasks will help the organization run smoothly.
The successful candidate will work closely with various members of our team, including our operations team and field staff, salespeople, rental coordinators, dispatchers, managers, and team members from our corporate office and other locations. You will also have extensive contact with customers throughout the process.
Responsibilities:
- Enter quotes in the system.
- Assist in the crane schedule and keeping unit schedule accurate.
- Approve necessary job-related documents, in both electronic and paper formats.
- Assist in the daily collection of necessary documentation to accurately invoice.
- Enter data to produce invoices for various customers.
- Send daily invoices to customers.
- Create purchase orders.
- Ongoing review/audit the billing process to uncover any jobs needing to be billed.
- Research and solve billing discrepancies.
- Assist in gathering information for credit memos.
- Assist and support in collections on customer accounts (ensure that the customer received the invoice and if there are any issues).
- Process credit card transactions as necessary.
- Administer and reconcile the petty cash.
- Maintain paperwork and job site access for employees.
- Order office supplies.
- Administer corporate lodging (CLC), scrap, and credit cards.
- Answer customer calls and emails.
- Enter fuel report.
- Enter weekly payroll.
- Perform other duties as assigned.
Knowledge, Skills, and Experience
Essential:
- High School diploma or GED.
- Proficient oral and written communication skills, technical skills, and functional skills.
- Excellent data entry skills: accuracy, thoroughness, and attention to detail.
- Strong customer service/support and problem resolution skills.
- Excellent organizational skills, ability to multi-task.
- Must be able to pass a drug test, background check, and fit for duty test.
Desired:
- Bachelor’s Degree.
- Previous Billing experience.
- Solid understanding of windows-based computer applications.

Pay: $25.00 - $35.00 per hour
