Position Overivew
The primary role of the Client Service Associate is to provide support to the financial advisors and ensure seamless client experience. Duties include but are not limited to processing deposits, transfers, check requests, and money movement, as well as addressing inquiries and providing account updates for orange, gray, and yellow tier clients. The Client Service Associate proactively manages client accounts, follows up on outstanding matters, and maintains accurate CRM records. This position is vital in delivering exceptional client experience and contributing to the overall success of W3 Wealth Management.
Typical Duties and Responsibilities
- Ensures all client transactions and communications comply with industry regulations (SEC, FINRA, etc.).
- Handles the accounts by preparing, processing, and submitting necessary forms, ensuring clients are kept informed with regular updates throughout the process.
- Processes client paperwork, ensuring compliance with regulatory and firm policies.
- Handles wire transfers, check requests, and money movement.
- Deposits checks into investment accounts while adhering to strict compliance procedures, ensuring accuracy and alignment with firm and regulatory standards.
- Processes orders to send funds out of investment accounts, assisting with linking bank accounts to investment accounts and resolving client requests efficiently.
- Reallocates and trades accounts under advisor guidance, ensuring alignment with client goals and investment strategies.
- Maintains up-to-date records for audits and compliance reviews.
- Manages and maintains client records, reports, and financial statements.
- Coordinates with custodians, banks, and financial institutions for account servicing.
- Prepares and processes appropriate paperwork.
- Assists clients with account openings, transfers, and updates.
- Ensures all client information and updates are documented accurately in the firm’s CRM system for compliance and ongoing service delivery.
- Maintains workflows and provides regular update reports, supporting operational efficiency and accountability.
- Enters notes and tasks into the CRM system, ensuring accurate documentation for seamless follow-up and collaboration.
- Looks for opportunities to go above and beyond, demonstrating appreciation for clients and creating memorable experiences.
- Assists with book of business transitions as business needs require.
- Serves as a peer resource and provides general administrative support, assisting colleagues and contributing to a collaborative team environment.
- Performs other duties as assigned.
Qualifications and Experience
- Bachelor’s degree in a related field preferred or equivalent experience.
- 1 years(s) of experience in financial services, banking, or wealth management.
- Strong client service background, with experience managing high-net-worth relationships.
- Proficiency in handling account openings, transfers, and maintenance within CRM and custodian platforms.
- Experience processing client paperwork, money movement (wires, checks), and documentation review
- Familiarity with Client Relationship Management (CRM) software.
- Proficient in Microsoft Office Suite.
Knowledge and Skills
- Ability to manage multiple priorities efficiently while maintaining high-quality service.
- Comfortable navigating various software and quickly learning in-house programs and tools.
- Strong organizational skills with a keen eye for accuracy and thoroughness
- Proactively takes ownership of tasks and works seamlessly with team members to enhance client service.
- Ability to assess financial data, engage with clients professionally, and persistently work toward solutions.
- Must successfully pass a federal background check & credit check.

Job Type: Full-time
Pay: $50,000.00 - $65,000.00 per year
