Key Responsibilities:
General Administration: Handle office duties, including answering phone calls, responding to emails, and scheduling meetings for team members.
Documentation Management: Maintain accurate records, files, and documentation for ongoing projects, including contracts, invoices, purchase orders, and correspondence.
Project Coordination: Assist with project scheduling, tracking project timelines, and ensuring that all necessary documents are available for construction projects.
Liaison with Clients and Subcontractors: Serve as a point of contact between clients, subcontractors, suppliers, and internal teams, ensuring effective communication and timely resolution of any issues.
Accounts and Finance Support: Assist with invoice processing, payment tracking, and preparing financial reports for the accounting team.
Health and Safety Compliance: Ensure all required permits and certifications are in place, and assist in maintaining health and safety compliance documentation for the team.
Procurement Assistance: Help with the ordering and procurement of materials and supplies required for project execution, ensuring timely deliveries and correct inventory management.
Reporting: Prepare and submit regular reports on project status, costs, and timelines to management and stakeholders.
General Support: Provide administrative support to senior management as needed, including preparing reports, presentations, and other documentation.
Qualifications:
High school diploma or equivalent required; associate's degree or higher in business administration, construction management, or related field preferred.
Proven experience as an administrator, office manager, or in a similar role within a construction or contracting environment.
Familiarity with construction industry terminology, processes, and regulatory requirements is a plus.
Strong proficiency in MS Office (Excel, Word, PowerPoint), project management software, and other office equipment.
Exceptional organizational skills with the ability to manage multiple tasks and deadlines effectively.
Excellent communication skills (written and verbal), with the ability to interact professionally with clients, contractors, and colleagues.
