- Communicate regularly with manufacturers to coordinate logistics, inventory, and warranty processes
- Reconcile transactions and maintain financial records using QuickBooks
- Assist with finance deals to ensure proper documentation and funding
- Process payroll in a timely and accurate manner
- Maintain and manage police book to track trailers in and out
- Upload and maintain inventory records in the dealer management system (DMS)
- Handle document delivery and pickup at the Secretary of State (MSO, RD108, titles, and registrations)
- Mail customer documents, track postage receipts, and file paperwork into deal jackets
- Answer inbound calls and direct them to the appropriate department
- Ensure office supplies are stocked and run errands when necessary
- Manage company Facebook listings and maintain online presence
- Proficiency with Google Suite (Docs, Sheets, Slides)
- QuickBooks experience is required
- Prior administrative or office assistant experience preferred
- Strong phone etiquette and interpersonal skills
- Excellent organizational skills with attention to detail
- Ability to prioritize tasks, meet deadlines, and multitask in a fast-paced environment
- Strong written and verbal communication skills
- Valid Driver's License required
