Job Description
The purpose of this position is to ensure accurate and timely processing of service invoicing and accounts receivables. The primary focus will be on collections, cash flow management, and financial reporting. The candidate must effectively communicate with the Controller regarding cash flow position at any given time.
Key Responsibilities
Accounts Receivable:
- Prepare customer invoices for Equipment, Service, Parts, and Sales projects.
- Ensure job billing aligns with specific job contracts.
- Maintain order register and record customer payments.
- Resolve billing discrepancies with clients.
- Follow up on aged collections until full resolution.
- Prepare documents for contract projects and maintain cost allocation.
- Maintain files for each job throughout the project scope.
- Reconcile technicians' hours worked.
- Prepare monthly sales commission reports, including expense tracking.
- Send monthly statements to all customers.
- Provide phone coverage as needed.
- Work closely with the Controller and AR Manager to ensure financial operations run smoothly.
- Communicate with Sales and Parts Departments for invoice processing.
- Liaise with external parties as needed.
- 5 to 7 years of bookkeeping experience.
- Proficiency in QuickBooks or related accounting software.
- Experience with Google Drive and Google Sheets.
- Strong problem-solving skills and ability to work independently.
- Job Type: Full-time (40 hours per week)
- Location: On-site in Broomall, PA 19008 (Relocation required before starting)
