Overview: Play a crucial role in the company’s success as the first point of contact for our valued clients. As a key member of our team, you will handle incoming calls, provide information about our tree care services, schedule appointments, and ensure an excellent client experience. This is an exciting opportunity to be part of the green industry, where you’ll play a vital role in promoting responsible tree maintenance and preserving urban and natural landscapes.
Responsibilities include but are not limited to:
· Answer high volume phone system in a timely and professional manner.
· Coordinate services and property tours for clients and prospective clients.
· Data entry including, but not limited to maintaining database and client records, entering Requests for Proposals, updating status of jobs.
· Address client questions and concerns regarding services, invoices, etc.
· Schedule Arborist appointments with clients using Outlook calendars.
· Attend to voicemails and web contact submissions.
· Daily printing of work orders and related tasks.
· Entry of client payments in CRM program
· Sales and production crew support as needed (in office and via phone)
· Prep & Mail documents daily and as needed.
· Pick up and distribute company mail.
· Creation of daily and/or weekly reports
· Filing of daily work orders and proposals
· Back up other office staff members as needed during breaks, vacations and absence.
· Special tasks and projects as assigned.
Qualifications:
· Associate degree preferred, but not required
· Excellent oral and written communication skills
· Excellent organizational skills
· Proficient user of MS office suite, specifically in Word, Outlook and Excel
