Summary: The ideal candidate will possess two to five years of experience in legal billing, preferably within a large law firm environment. This role is crucial in ensuring accurate and timely client invoicing, and requires strong analytical, communication, and organizational skills. The Billing Coordinator will work closely with attorneys and administrative assistants to manage all aspects of the billing process. Essential Duties and Responsibilities: Utilize and maintain the firm’s billing software, Elite 3E, assisting with system updates and implementations. Prepare and process complex client invoices in accordance with firm and client guidelines. Follow up with partners on outstanding or delinquent billing matters. Communicate with attorneys and legal assistants to resolve billing discrepancies and ensure timely invoice submission. Ensure accuracy and completeness of billing data, including time entries, expenses, and disbursements. Generate and distribute proforma and final invoices. Manage electronic billing through various client portals. Apply knowledge of various billing arrangements, including hourly, flat fee, and contingency. Maintain accurate and up-to-date client billing information within the system. Generate and analyze billing reports, including aging reports and revenue summaries. Identify and resolve billing discrepancies and anomalies. Assist with month-end and year-end closing processes. Ensure compliance with all firm billing policies and procedures. Maintain confidentiality of client and firm information. Perform other related duties as assigned. Contribute to special projects, ensuring timely and accurate completion. Complete all duties as assigned by the Billing Manager. Knowledge, Skills, and Abilities Required: Strong expertise in E-billing systems, electronic invoicing, and compliance with client billing guidelines. Excellent communication skills, both verbal and written, with the ability to effectively interact with clients and colleagues. Detail-oriented mindset, ensuring accurate billing records and proactive management of unbilled accounts. Proven ability to streamline billing processes. Education and Experience: Bachelor’s degree in accounting, finance, or a related field preferred. Two to five years of experience in legal billing, preferably at a large law firm. The base salary offer is based on a variety of factors which includes, but not limited to qualifications, education and experience.
