The Client Coordinator is a full-time, non-exempt position based in our Glenwood Springs, CO office. This role is responsible for handling incoming telephone calls, screening potential new clients, scheduling new and existing client meetings, confirming client appointments, ordering and stocking office supplies and refreshments, assisting legal assistants and lawyers with printing documents, preparing estate planning packets and notebooks for clients, scanning and copying documents.
Position Responsibilities
- Welcomes and attends to clients/guests promptly and courteously; always maintaining an upbeat and pleasant attitude.
- Answers and directs incoming telephone calls in a timely manner; communicating with attorneys and clients in a professional manner with discretion and confidentiality; applicant will be expected to handle calls for the Glenwood Springs Office (approximately 3 attorneys and staff).
- Screen potential clients, entering contact information into client management software, and schedule attorney meetings using shared computer calendaring systems.
- Provide callers with general information about the firm and services provided, including office hours and directions.
- Accepts, logs, and distributes all FedEx, UPS, courier and all vendor deliveries.
- Coordinates with legal assistant and attorneys to finalize estate planning documents in Microsoft Word for signings, prints documents, arranges witnesses for will signings, prepares estate planning notebooks, scan and copy estate planning documents and prepares digital copy books using pdf programs.
- Interacts positively with attorneys and staff in a fast-paced environment, remaining flexible, proactive, resourceful, and efficient.
- Maintains general knowledge and awareness regarding inventory of office supplies and refreshments and places orders as necessary; responds to attorney and staff requests for supplies promptly.
- Collects mail, and distributes mail throughout the office.
Qualifications/Skills
- High School Diploma or equivalent.
- 3-5 years prior experience in customer service or receptionist role preferred.
- Experience in professional business environment preferred.
- Excellent oral communication skills, excellent organizational abilities, and strong problem solving skills required.
- Experience with Microsoft Office required, including Word, Outlook, and Excel.
- Strong computer skills and ability to learn new software quickly.
- Knowledge of phone systems is a plus.
Physical Requirements
- Position is generally sedentary in nature; involves sitting most of the time, but may involve walking or standing for brief periods of time.
- Ability to routinely lift up to 10 lbs.
- Ability to perform repetitive motions.
- Ability to reach, lift, climb, balance, stoop and crouch required.
- Ability to see and read PC screens; detect color coding, read fine print, and/or normal type size print.
Base salary range between $35,000 and $55,000 based on experience and eligibility for a guaranteed bonus based on data-driven metrics. Employees are eligible for the following benefits: paid time off, Anthem Platinum PPO 250/20%/3500, dental, vision (employer covers 90% of premiums for employee), short term and long-term disability insurance, family/medical leave, life insurance, and a 401K plan with matching contributions. This is a in-person position. Office hours are from 8:30 am. to 5:00 p.m. Monday-Thursday and 8:30 a.m. to 3:00 p.m. on Fridays.
