The Administration Executive Assistant performs professional and technical level daily support of the County Administrator and the Board of Commissioners. This position is responsible for preparing County Board agendas, packets, minutes, maintaining media releases and assisting with Data Requests. This position is also responsible for coordinating meetings, travel, and day to day operations for the County Administrator.

Duties and Responsibilities

  • Assists the County Administrator and Board of Commissioners.
  • Serves as a point of contact for the Board of Commissioners.
  • Prepares County Board minutes, agendas, and packets for Board of Commissioners.
  • Coordinates schedules for all meetings with the County Administrator, Board of Commissioners, Department Heads and outside entities.
  • Prepares and circulates media releases as directed by the Administrator.
  • Responsible for assisting with Countywide Data Requests.
  • Responsible to update the annual Data Requests Report for the Board of Commissioners as directed by the Administrator.
  • Complies with relevant data practices laws and requirements.
  • Creates documents/ forms, and tools to ensure creativity and functionality usefulness for the organization, as well as workflow process.
  • Operates all audio and visual technology for board workshops, board meetings and any other needs as directed by the Administrator.
  • Orders supplies, materials, and equipment.
  • Prepares vouchers and purchase orders.
  • Posts, updates and monitors the county calendar on the county webpage.
  • Screens and assists the public or other county employees in obtaining answers or directing them to the appropriate resource person(s), applying knowledge of departmental policies and operations.
  • Organizes and makes arrangements for special events, meetings, or conferences.
  • Coordinates and organizes materials for special projects, participates in committees or boards as assigned.
  • Prepares and processes bills, secondary to the Administrative Accountant, as directed by the Administrator and/or County Auditor.
  • Involvement with union negotiations as directed by the Administrator and Board of Commissioners.

Ancillary Duties and Responsibilities

  • Attends training/educational sessions, meetings, and seminars to keep current on legislative and regulatory changes and maintain professional competence.
  • Assist Department Heads with special projects.

While these are the primary focus of the position, we believe strongly in teamwork and employees will be called upon to perform a variety of duties as part of their role with the County.

  • Knowledge of Wadena County administrative policies and procedures.
  • Skill in developing administrative procedures and record management functions.
  • Skill in communicating with multiple stakeholders.
  • Skill in managing time and setting priorities.
  • Ability to work independently and accurately.
  • Ability to use judgment and work with established procedures and supervisor consultation when difficult or unusual problems occur.
  • Excellent communication skills, oral, written, and interpersonal skills as applied to interactions with officials, staff, and general public.
  • Ability to work independently to determine objectives and how they are achieved with limited oversight for results achieve.
  • Ability to maintain effective working relationships with a wide variety of internal and external contacts to achieve organizational objectives.

Education and Experience

  • One year of specialized training beyond high school.
  • Three years relevant work experience.
  • Prefer past experience handling Data Requests.
  • Must possess a valid drivers license upon hire.
  • Prefer executive assistant or legal secretary background.
  • Or an equivalent combination of education, training, and experience.

  • Valid Drivers License

Physical and Mental Requirements

This job typically requires: sitting, standing, walking, feeling, manual dexterity, grasping, talking, hearing, typing, and seeing. There is prolonged exposure to computer keyboards and video screens. This position is generally light-duty and may require the exertion up to 20 pounds of force.
