POSITION SUMMARY

The Controller is a member of the executive leadership team and is responsible for the financial management of WAFLA, and any WAFLA subsidiaries. The areas of responsibility include strategic and long-range planning; providing financial reports, including budgets and projections to the CEO and Board of Directors, and the leadership team; establishing product and service pricing; negotiating contracts with vendors and members; working with the leadership team to develop annual operating and capital budgets; Establishing and maintaining internal controls and data and management systems. The Controller also oversees all accounting, tax compliance and administrative functions. The Controller is responsible for the investing and financing activities of the organization including both short-term cash, capital and housing facility investment programs.

ESSENTIAL FUNCTIONS

Oversee accounts receivable, account payable, month-end close, and compliance.

Create and complete annual budget process that will be the foundational financial management tool for the organization. Implement and maintain electronic budgeting system. Prepare the annual operating and capital budget for WAFLA. Closely monitor the budgets and communicate areas of concern in a timely manner.

Provide financial management and analysis of the association and subsidiaries. Make long-range strategic planning a routine practice. Ensure that there is an accurate and timely system to capture all costs and revenues as they relate to each separate subsidiary, business unit, program and activity in order to make sound financial decisions during budget execution and budget formulation.

Oversee the accounting and administrative department and manage staffing resources to ensure the timely and accurate delivery of financial data and administrative support services.

Prepare monthly, quarterly and annual financial statements.

Project manage annual audit with external CPA firm to ensure timely filings are completed. Establish policies and procedures to ensure compliance, reporting and audit requirements are fulfilled.

Prepare supporting documentation and project manage the relationship with external CPA for timely filing of the form 990 and corporate income taxes.

Oversee and ensure accurate, timely and compliant filing of business and occupational taxes, personal property taxes, sales and use taxes, and payroll taxes and reports.

Negotiate, prepare and administer contracts with vendors, members, and other partnerships. Initiate, document, review, and monitor leases.

Administer all banking and cash management functions. Develop and maintain secure measures for all banking transactions. Manage banking / financing agency relationships.

Establish and maintain credit and collection policies and procedures that balances the need to maximize sales with the need to minimize the risk of loss from write-offs.

Review and manage insurance policies. Make recommendations to CEO for renewals and modifications to insurance products.

Provide direct supervision of accounting and administrative staff to include discretionary authority to determine methods of work; plan, assign and direct the work; in coordination with human resources and association policy, recommend to the CEO personnel action (promotions, wage adjustments, demotions, discipline, discharge, etc.); administer routine performance appraisals; providing coaching and training to team members and other association staff on department policies and procedures, and interview and select employees for hiring. Emphasis is to be placed on maintaining staffing at the appropriate levels to operate at peak efficiency and in developing continuity in key positions.

Carry out decisions of the association officers and communicate them to the affected parties. Plan work based on corporate priorities. Enable the officers to fully understand and discuss financial issues, questions and situations that arise.

Participate in association and subsidiary meetings. Coordinate meetings as necessary.

Provide financial consultation and support to the CEO for bank financing, credit applications, and other fiscal issues affecting the Association and subsidiary entities and ensure that all corporate business information is kept updated and accurate.

Implement system and monitor tracking of fixed assets for accounting, depreciation and tax purposes.

Train WAFLA management in financial management areas and identify educational programs to support team growth.

Evaluate, select, and train staff on new or updated financial management software systems.

Provide superior customer service in all aspects of dealing with or providing support to the customer.

SKILLS & ABILITIES

Extensive accounting knowledge, preferably at the CPA level, with an emphasis on corporate finance, including non-profit and records management.

Knowledge of business and management principles involved in problem-solving, strategic planning, resource allocation, human resources, leadership techniques, production methods, and coordination of people and resources.

Strong business management technical, analytical and negotiation skills.

Excellent verbal and written communication skills are required to effectively work with association board, management, staff, vendors, members, and the general public.

Excellent project management, time management, and organizational skills.

Excellent attention to detail.

Strong computer knowledge including accounting systems, databases, spreadsheets, and communications.

Ability to research, learn and apply current knowledge of all aspects of accounting and financial management rules and best practices. This includes but is not limited to pertinent laws, regulations, and applicable computer and software technology.

Ability to deal with the stress of dynamic interpersonal situations as well as meeting all other job requirements on short notice or deadlines.

Ability to assume responsibility for providing timely, appropriate responses to requests, suggestions, and complaints, or refer them to the appropriate person.

Ability to be professional, effective, nondiscriminatory and foster teamwork in dealing with employees at all levels, as well as with members and customers.

Ability to work independently using effective time management and organizational skills.

Ability to adapt to constant change and growth in overall business operations and concepts.

Working knowledge of payroll functions including preparation, balancing, internal control, and payroll taxes.

Ability to handle confidential information with great sensitivity.

KNOWLEDGE AND EXPERIENCE

Required :

Four year degree in accounting or related field.

Five years relevant experience.

Two or more years of experience supervising accounting or bookkeeping staff.

Experience creating budgets for short-term and long-term business needs.

Knowledge of computerized accounting systems to include Quickbooks or NetSuite.

Experience working with federal / state agencies and programs.

Possess excellent cultural sensitivity skills.

Commitment to excellence in customer service.

Willingness to learn and accept feedback for continuous growth.

Highly organized with excellent time management and communication skills.

Valid Drivers License and be insurable under WAFLA insurance.

Preferred :

CPA or MBA preferred.

1 years full cycle accounting experience with nonprofit sector.

Experience with state or federal grant reporting.

Experience working with agricultural employers.

Knowledge of the Agricultural Industry, Immigration, or Federal H-2A program.

Valid Passport, or ability to obtain passport.

Bi-lingual Spanish. Ability to communicate effectively in the Spanish language (prefer dialect of Mexico / Mexican culture).

PHYSICAL DEMANDS

Sitting for extended periods, bending, walking, reaching, standing, and grasping. Speaking and listening while using the telephone. Grasping of paper files, carrying, hand movement, constant typing, using a mouse, and viewing information on a computer screen. Ability to travel by plane or automobile both in and out of country. Ability to operate a motor vehicle safely.
