About the Position - Responsibilities & Duties
The Human Resources Coordinator will serve as a member of a collaborative, global Human Resources team supporting a wide range of Human Resources activities for Waga Energy’s US subsidiary.
This role is an excellent opportunity for a junior-level HR professional seeking to develop their HR expertise in a supportive environment while gaining practical experience across a variety of HR functions. The candidate selected for this role will have the opportunity to work closely with experienced HR professionals, gaining valuable insights and mentorship while building their HR career.
As a multinational company, Waga Energy’s HR team consists of staff members currently located in France, Canada, and the US. As such, the Human Resources Coordinator will work with these team members on a regular basis while primarily supporting Waga Energy’s US subsidiary.
Associated responsibilities will include, but will not be limited to:
- Training and Development: Coordinating the development, implementation, and administration of employee training programs and the associated tools in coordination with other departments (i.e., Safety, Project Delivery, Operations, etc.). Responsibilities to include coordinating:
- Training needs assessments and the development of training plans.
- The planning and implementation of internal & external training sessions including tracking training requests, coordinating with internal & external trainers, scheduling sessions, recording information in the HRIS (Lucca), tracking and planning follow-up sessions, etc.
- The maintenance of training plans and training records within the HRIS and providing reporting/data needed for quarterly training KPIs.
- The development and maintenance of training content and data within Waga’s 360Learning platform.
- Performance Management: Assisting with the administration of the annual and mid-year performance review processes (known as the “annual interview” process within Waga) as well as the new hire 90-day review process.
- Employee Recruiting & Onboarding: Assisting with a variety of activities to support the recruitment, hiring, and onboarding of new employees.
- Immigration Support: Assisting with the US work visa application and renewal processes for employees across multiple Waga Energy subsidiaries under the guidance of the US HR Director and in coordination with an external immigration attorney.
- Policy Administration & Compliance: Assisting with Employee Handbook updates and other policy and compliance related activities.
- Internal Communications: Coordinating with internal HR communications by gathering and sharing key HR data, updates, and announcements via the company intranet and other internal channels, ensuring employees are informed about policies, procedures, programs, and other organizational updates.
- Human Resource Information System (HRIS) Support: Maintaining US employee records in the HRIS. Responsibilities to include adding new hires, processing any separations, updating employee data with changes as needed, supporting time keeping and absence tracking activities, creating reports, and assisting with the implementation and development of new modules.
- Special Projects and HR Initiatives: Assisting with the implementation of group level (all Waga subsidiaries) processes, policies, programs, and tools in coordination with the global HR team.
About You - Qualifications & Skills
The ideal candidate is a self-motivated, detail-oriented professional with 3-5 years of human resources experience with a multinational company and a bachelor's degree in human resource management, business administration or a related field. Additional qualifications include:
- Foundational knowledge of HR principles, employment laws, and best practices.
- Experience supporting HR functions such as employee training & development, recruitment & onboarding, performance management, and policy administration & compliance.
- Excellent written and verbal skills communication skills and the ability to effectively build and maintain relationships in a cross-functional, multinational environment.
- High attention to detail and accuracy in handling confidential HR data and documentation.
- Experience working with Human Resource Information Systems (HRIS), Applicant Tracking Systems (ATS), Learning Management Systems (LMS) and/or other similar HR tools.
- Strong working knowledge of Microsoft office applications including Word, Excel, PowerPoint, Outlook, and Teams.
