Wags & Walks is a 501c3 nonprofit dog rescue in Los Angeles. We are a community of dog lovers working to promote shelter dogs as the best dogs in the world through advocacy of our unique family-friendly foster and adoption programs.

SUMMARY

The Office Coordinator oversees daily operations of the front desk and administrative tasks, assists with retail operations, and ensures a positive guest experience for the general public when visiting the Wags & Walks Adoption Center. This job requires a friendly, enthusiastic, and highly organized person to be the face of our organization. The ideal person for this position has experience in customer service and project management or administrative roles, strong communication skills, and is comfortable dealing with crowds.

DUTIES & RESPONSIBILITIES

  • Lead front desk responsibilities and guest experience at the Adoption Center, including greeting guests and responding to the phone, mail, and e-mail.
  • Maintain traffic flow during operating hours, greet volunteers and the public, and direct them to the appropriate person and location.
  • Assist with various day-to-day tasks, including shipments, retail POS and merchandising, staff & volunteer needs, etc.
  • Collaborate and communicate clearly and efficiently with other teams to accomplish project plans and ensure that policies and procedures are being met.
  • Monitor office expenditures and handle office contracts (service, maintenance, shipments, etc.)
  • Assist in vendor relationship management, and monitor and order office supply inventory
  • Manage team calendars, set appointments and meetings
  • Train and assign tasks to receptionists, volunteers, interns, etc
  • Maintain files and records with effective filing systems
  • Ensure the Adoption Center remains a clean, safe environment with the direction and support of your supervisor and staff.
  • Support other teams with various administrative tasks (redirecting calls, disseminating correspondence, etc.)
  • Participate in training sessions and professional development opportunities provided by Wags & Walks.

QUALITIES

  • Must be a dog lover and possess some knowledge of basic dog behavior and needs. Must be willing to get your hands dirty, be flexible, and be reliable.
  • Must have excellent customer service experience, proven attention to detail, and good organizational and time management skills.
  • Ability to communicate skillfully and effectively with a diverse community in a professional, pleasant, respectful manner and use good judgment.
  • Must enjoy public speaking and communicating with a diverse group of people.
  • Must be a team player and have a positive attitude. Personable, professional, upbeat, and energetic.

QUALIFICATIONS

  • Associate’s/College degree; Bachelor’s degree a plus
  • Must have experience with office or volunteer coordinator, customer service, or similar role
  • Familiarity with retail, merchandising, and inventory management is a plus
  • Excellent communication and interpersonal skills
  • Must have computer proficiency, including Word, Excel, Slack, and google docs. Ability to learn new technology quickly.
  • Knowledge of basic office management systems and processes
  • Must be able to sit at a desk in front of a computer for several hours. Constantly operates a computer and other office machinery.
  • Must lift up to 40 lbs to help move kennel crates, dog food, and other supplies.
  • Must have a current and valid Tennessee Driver’s License.
  • Must be able to work a flexible schedule that includes evenings and weekends.

SCHEDULING & BENEFITS

  • Salary: $18-20/Hourly
  • Full Time: 40 hours per week
  • Part Time: Minimum 15 hours per week, up to 25
  • Must be able to work a flexible schedule that includes evenings and both weekend days
