Job Description
We are seeking a highly organized and proactive Office Manager to lead the front desk and manage daily office operations, including building and facilitates oversight. This is a hands-on role that blends reception duties, administrative coordination and facilities management. You'll be the face of the firm, managing multiple phone lines and ensuring our entire office runs smoothly.
This full-time, on-site position is perfect for someone who is organized, communicative, solutions-oriented, and thrives in a fast-paced professional environment.
Essential Job Functions
- Manage multi-line phone system and direct calls the appropriate person
- Monitor and distribute voicemails, faxes, and incoming mail
- Update and manage client database entries in Litify
- Perform clerical tasks including data entry, filing, scanning, and copying
- Coordinate incoming and outgoing deliveries and courier services
- Manage expense reports using Concur
- Maintain office supply inventory and place orders as needed
- Act as the point person for all building maintenance and vendor coordination
- Monitor and manage cleanliness, safety, and functionality of office space
- Communicate with property management regarding building issues
- Schedule and oversee service providers (cleaning crew, HVAC, maintenance, etc.)
- Manage building access, key cards and parking permits
- Maintain conference room calendar for attorneys and clients
- Support Legal Assistants, Paralegals, and Attorneys with administrative tasks
- Other duties as assigned
Qualifications & Requirements
- High school diploma required; Associates degree required
- Minimum of 3 years' experience as an Administrative Assistant or Office Manager
- Excellent communication skills
- Strong multitasking, time management, and organizational skills
- Professional demeanor with excellent verbal and written communication
- Comfortable managing building vendors and external service providers
- Proficient in Microsoft Office Suite; experience with Litify and Concur is a plus
- Friendly, dependable, and flexible team player with strong initiative
- Must be punctual, reliable, detail-oriented, and maintain confidentiality at all times
Work Schedule
Monday – Friday, 8:00 AM – 5:00 PM
This is a fully in-office position and is not eligible for remote work.
