The Administrative Coordinator supports our executive team, oversees office operations, and provides exceptional customer service to both employees and guests. This role is critical in ensuring the smooth day-to-day functioning of our office while maintaining strict confidentiality, coordinating travel for international guests, and facilitating meetings, events, and company outings.

The Administrative Coordinator supports our executive team, oversees office operations, and provides exceptional customer service to both employees and guests. This role is critical in ensuring the smooth day-to-day functioning of our office while maintaining strict confidentiality, coordinating travel for international guests, and facilitating meetings, events, and company outings.
ESSENTIAL FUNCTIONS:
Executive Support & Confidentiality
- Provide high-level administrative support to multiple executives, including calendar management, meeting coordination, and correspondence handling.
- Manage sensitive company and personnel information with absolute discretion and confidentiality.
- Prepare reports, presentations, and documents as needed for executive meetings.
- Serve as the first point of contact at the front desk, delivering a professional and welcoming experience for employees, customers, and guests.
- Oversee office operations, ensuring a well-maintained, efficient, and organized work environment.
- Manage office supplies, vendor relationships, and facility maintenance.
- Arrange complex domestic and international travel for executives and visiting international guests, ensuring smooth itineraries and accommodations.
- Coordinate company meetings, executive lunches, team outings, and corporate events.
- Manage logistics for in-office meetings, including catering, setup, and technology needs.
- Provide outstanding customer service to internal employees and external clients, ensuring a positive and professional experience.
- Assist with onboarding new employees by coordinating office tours and resources.
- Foster a welcoming and supportive office culture through thoughtful organization and proactive problem-solving.
- Proven experience in an executive administrative, office management, or similar role.
- Strong organizational skills with exceptional attention to detail and the ability to multitask.
- Discretion and professionalism in handling confidential information.
- Excellent communication skills (both written and verbal) with a customer-service mindset. Developing and delivering multi-mode communications that convey a clear understanding of the unique needs of different audiences.
- Proficiency in office software (Microsoft Office Suite, Google Workspace, and scheduling tools).
- Ability to coordinate travel logistics, including international guest arrangements.
- Event planning experience is a plus.
