What are the responsibilities and job description for the Referral Coordinator position at Wake Spine and Pain Specialists?
Position: Referral Coordinator Classification: Non-exempt Reports to: TBD Hours: Days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m.
Position Summary: The Referral Coordinator is responsible for accurately scheduling all new patients from all referral sources according to provided referral information and company policies and protocols.
The Referral Coordinator is equally responsible for nurturing relationships with all referring offices and representing the company in a consistent, professional manner.
Essential Functions
• Reviews all incoming referrals from every source, including surgeons, primary care providers, self referrals, and worker’s compensation programs.
• Serves as a valuable resource to patients, providing them with pertinent information regarding their referral and new patient appointment.
• Collects all patient demographic information, creates new patient in practice EMR, and enters information accurately into appropriate database(s).
• Verifies patient insurance is accepted by Wake Spine & Pain Specialists. • Analyzes all provided referral documentation to determine if patient is a good fit for the office.
• Ensures patient medication list is up to date prior to scheduling the first appointment. • Verifies all pertinent medical documentation is accurate and present prior to new patient appointment.
• Schedules all new patient appointments according to provided scheduling rules and preferences. • Maintains open communication with referring offices and updates referring offices on status of all incoming referrals.
• Follows up on all incoming referrals per office guidelines in the instance where patient is unresponsive.
• Represents Wake Spine & Pain Specialists in a consistent, professional manner with all referring offices.
• Participates in marketing events as requested in a consistent, professional manner.
• Develops and maintains professional, working relationships with all referring offices.
• Enters detailed incoming referral information into provided database as trained.
• Monitors referral trends carefully and immediately informs management of any changes to same.
• Works collaboratively with every department to meet company goals.
• Participates in educational activities and attends regular staff and department meetings.
• Maintains strictest confidentiality; adheres to all HIPAA guidelines/regulations. Competencies

Work Environment This job operates in a professional, clerical-administrative office environment.
This role routinely uses standard office equipment such as computers, phones/headsets, photocopiers, filing cabinets, and fax machines.

Required Education and Experience • High school diploma • A minimum of 2 years of successful experience within a medical office setting • 1 - 2 years of EMR experience
Preferred Education and Experience
• Associate’s degree • 1 - 2 years referral experience in a medical office • 1 - 2 years clinical experience
