What are the responsibilities and job description for the Road Construction Office Administrator position at Walkin Technologies LLC?
Responsibilities:
Daily management of information flowing in from all active jobs to include: operators daily reports, truck logs, fuel sheets and scale tickets.
Review incoming payroll, equipment, and production data for completeness and accuracy.
Setup job files, bond requests, and material pricing.
Update job files, work-on-hand, and payment sheets.
Assist and facilitate in the flow of billing and payment tracking.
Enter job details into different systems for job costing and accounting (HCSS, Vista, and Libra).
Obtain and track data from internal and field stakeholders for various management reports; maintain and distribute management reports as required.
Assist with legal ads and preparing bid requests.
Additional responsibilities as assigned by Supervisor.
Requirements:
College degree with business courses preferred.
Prefer candidates with 3-5 years of road construction administration experience, or similar industry work experience.
Solid critical thinking skills with ability to analyze reports and data, and make informed decisions.
Seeking a self-starter with great initiative and problem-solving abilities.
Possess strong follow-up capabilities, and perseverance to get projects/jobs done to completion, are a must.
Proficiency required in Microsoft Windows applications: Word, Excel and Outlook.
Demonstrate proficiency in math and performing routine calculations.
Knowledge of HCSS Heavy Job, and/or Vista accounting/payroll database (or similar) is a plus.
Knowledge of ECMS (PennDOT Engineering and Construction Management System) and AIA contract forms is a plus.
Ability to provide excellent customer service to internal and external customers.
Demonstrate top-notch skills in producing correspondence and documentation, organizing records, and filing.
Possess excellent verbal and written communication skills, effective interpersonal skills, strong organizational skills, and solid attention to detail.
Applicant must pass a pre-employment drug and alcohol screening test, and be willing to submit to, and pass, random drug/alcohol testing thereafter.
