We have an immediate opening for a full-time Administrative Assistant in our Kansas City Office. The candidate will work to provide support and assistance to individuals and departments to help them meet their job responsibilities.

Requirements
Job requirements are as follows:
- Provide administrative and HR support services, as well as assisting in marketing and accounting services of the office as needed
- Provide a variety of support services including greeting visitors, word processing, spreadsheet creation, reporting, and answering phones.
- Perform support tasks such as plotting, scanning drawings, copying, mailing, filing, making meeting and travel arrangements, tracking submittals, and other tasks as required.
- Event planning, ordering supplies, working with vendors, purchase requests, and ensuring general office maintenance is completed.
- Coordinate with the marketing department for charity events and other events happening in the Kansas City office.
- Assist the Kansas City engineering staff with tracking construction submittals and project schedules.
- Assist the engineering and marketing staff with proposals as needed.
- Track and renew engineering licenses. Maintain a database with login information and aid engineering staff with tracking of renewal requirements.
- Demonstrate continued and progressive knowledge of administrative tasks required for an engineering firm.
- Input project information into the database system.
- Look for ways to improve the efficiency of our office processes
- Knowledge of the operation of standard office equipment relevant to the position
- Due to the nature of the responsibilities, this will be considered an “In Office” position.
- Proficient in basic math skills
- Notary Public (if not currently appointed as a Notary, it will need to be attained)
- Good organizational and communication skills
- Knowledge of effective administrative procedures and systems
- Ability to operate multi-line phone system
- Fundamental graphic skills
- Understanding of the A/E/C industry terminology and procedures
- Knowledge of accounting procedures and systems
- Willingness to learn and adapt to new processes and systems
