Company Overview: Wallace Property Management has owned and managed properties in the Boston area since 2001. As a managing agent with a vast knowledge of the local residential markets, we also have significant experience managing affordable housing units. Our management office is located in downtown Boston, consisting of a 5 person team and 4 person in-house maintenance staff. We own and manage a portfolio of around 30 properties, totaling 240 units. We also own and manage roughly 200,000 square feet of commercial space.
Position Overview: The administrative assistant position interacts with the management and property maintenance teams. This is an entry-level position which offers exposure to all aspects of the real estate business. This is a great opportunity to learn and with a strong performance record, offers the potential to take on additional responsibility. This is a full time position. Four days minimum required in the office.
Job Responsibilities:
· Handle all incoming phone calls, respond to general emails and welcome office visitors.
· Open and sort mail.
· Deposit checks and post to corresponding accounts.
· Respond to tenant maintenance requests, i.e. pest control. Manage schedule and follow up on request completion.
· Manage office schedule and calendar requests as needed.
· Coordinate office meetings.
· Follow up on outstanding renewals.
· Send out renewals based on the amount determined by the property manager.
· Send out tenant ledgers.
· Record and deposit laundry income.
· Open utility accounts for vacant units.
Computer Skills:
Basic understanding of Microsoft Word & Excel, Google Docs & Sheets, knowledge of Appfolio property management software a plus, but can also learn on the job.
