Job Summary:
We are seeking a reliable, organized, and personable Intake Coordinator to join our team and play a crucial role in the efficient operation of our counseling practice. As an Intake Coordinator, you will be the first point of contact for clients and responsible for managing the intake process for prospective clients seeking counseling services. This position involves handling initial inquiries, gathering relevant intake information, scheduling appointments, and ensuring a smooth onboarding experience for new clients. The Intake Coordinator plays a key role in facilitating communication between clients and therapists, ensuring that all necessary documentation is completed, and providing excellent client care.
Responsibilities:
- Greet clients and visitors in a warm and professional manner
- Conduct initial intake assessments over the phone to gather detailed information on clients' mental health needs, background, and insurance details
- Schedule initial appointments between clients and therapists based on Clinical Director recommendation, therapist availability and client preferences
- Ensure that all necessary paperwork and documentation are complete before each client's first appointment
- Answer incoming calls and respond to inquiries or direct them to the appropriate staff member
- Assist clients with intake paperwork and provide necessary information about the counseling process
- Handle billing, invoicing, and payment processing accurately and efficiently
- Maintain client records, ensuring confidentiality and compliance with data protection regulations
- Oversee the organization and tidiness of the office space and waiting area
- Collaborate with the counseling team to ensure a smooth flow of operations
- Contribute to the continuous improvement of office procedures and client experience
Qualifications:
- Bachelor's Degree
- Proven experience in office administration or customer service roles
- Familiarity with mental health or counseling practices is advantageous but not required
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer skills
- Exceptional organizational and time-management abilities
- Excellent verbal and written communication skills
- Strong attention to detail and accuracy in data entry and record-keeping
- Empathy and the ability to handle sensitive and confidential information with discretion
- Positive attitude, a team player, and the willingness to take initiative
- Bilingual language skills are a bonus
