Office Administrator--Operations and Administrative Support Specialist
Classification: Non-exempt (Hourly), $_24-25_/hr with growth potential
Reports to: Director of Property Management / Operations Manager
Location: Seattle, WA (On-site)
Summary / Objective:
We are seeking a proactive and detail-oriented Operations and Administrative Support Specialist to join our dynamic team. This role ensures the smooth functioning of day-to-day office operations, supporting multiple departments—including maintenance, accounting, and property management. Key Responsibilities:
Office Administration & Front Desk Support:
- Serve as the primary point of contact for calls, emails, and visitors, providing exceptional customer service.
- Manage front desk tasks: greet guests, receive packages, and coordinate meeting logistics.
- Order and maintain office supplies, snacks, and general office stock.
- Oversee office organization, light cleaning, and occasional event coordination.
- Schedule and organize meetings, office events, and internal communications.
Administrative & HR Support:
- Maintain digital and physical filing systems for data accuracy and easy access.
- Assist with human resources tasks: data entry, project coordination, and employee file management.
- Support marketing efforts, including social media content creation, Craigslist postings, and updating the website (WordPress experience preferred).
Operational Support for Maintenance & Accounting Departments:
- Collaborate with maintenance and accounting teams to improve processes and reduce expenses.
- Generate and review delinquency reports; communicate with residents on payments and collections.
- Handle check deposits, prepare legal notices (e.g., eviction notices), and manage renewals (LLC/RRIO).
- Coordinate with rental assistance programs and legal support services as needed.
Qualifications:
Required:
- High school diploma or GED.
- Minimum of 1-2 years of experience in administrative support, customer service, or office environments.
- Proficient in Microsoft Office and Google Suite.
Preferred:
- Experience in property management, marketing, or social media management.
- Familiarity with WordPress or website content management systems.
- Relevant certifications or post-secondary education in business or administration.

- Full-time position: Monday to Friday, 8 a.m. – 4:30 p.m. (40 hours/week, 30 min lunch break).

- Occasional local travel may be required for errands or meetings.
