Overview: We're seeking a part-time Member Services Representative to provide top-notch service to Walnut Grove Members and visitors. You'll get a 30-minute lunch break. *Attention to detail is critical, especially as we transition from paper to digital systems.

Key Responsibilities:

  • Over time be well-versed in WGMHA policies, By-Laws, Building & Grounds, and the Employee Handbook.
  • Greet Members and visitors warmly.
  • Answer phones, screen and direct calls, refer callers, and schedule appointments.
  • Manage opening and closing office procedures.
  • Enter and update work order information.
  • Generate end-of-month work order reports.
  • Handle maintenance fees and payments.
  • Sort and distribute mail.
  • Prepare bulk mailings and monitor postage supplies.
  • Keep inventory of office and cleaning supplies.
  • Maintain confidential records and files and handle confidential correspondence.
  • Update member mailing/directory information.
  • Prepare monthly reports as requested by the BOD President.
  • Ensure the membership sale list is current for the monthly Open House.
  • Prepare documents for new and departing Members.
  • Manage the rental calendar and contract for the WGMHA Community Room, collect rental fees, and inspect the room post-event before refunding deposits.
  • Assist with tech support, including maintaining the WGMHA website, Facebook page, computers, printers, security systems, and phones.
  • Secure the office at the end of the day.
  • Provide support to our Bookkeeper.
  • Perform other duties as required by the GM.

Working Environment:

  • Occasional exposure to paint fumes, solvents, adhesives, etc.
  • Extended periods of standing when attending to Member issues.
  • Occasional exposure to outside elements in good weather.

Qualifications:

  • Light bookkeeping skills are a plus.
  • Excellent listening, verbal, and written communication skills.
  • Proficiency with Microsoft Office Suite and other relevant programs.
  • Strong organizational skills.
  • Must be capable of independently resolving issues while learning policies and procedures from management. Consistently and fairly enforcing rules with confidence, even when Members are displeased.
  • Experience with Buildium software is a plus, but not necessary.
