ADMINISTRATOR OF ATHLETICS
The purpose of this position is to have an individual responsible for supervising and implementing the provisions of Athletic programs in the Waltham Public Schools in accordance with State and Federal regulations and mandates. Working in partnership with the educational leaders of the Waltham Schools, the Director assures that the athletic program meets the educational and developmental needs of the students.
Qualifications:
Education, Training and Experience
- A Master’s Degree in Education or in content area required
- Valid Massachusetts State Certification as Supervisor/Director
- At least five (5) years’ experience in the field of public education, including experience in administration and teaching
Knowledge Required
- Thorough knowledge of MA DESE and MIAA rules and regulations regarding athletics
- Knows the range of athletic needs and concerns for the school system
- Excellent managerial and leadership skills
- Skill in developing protocols and procedures to accomplish goals and objectives
- Skilled in developing a positive working relationship with coaches, players and parents
- Skilled in continuously evaluating and improving programs and activities
- Skilled in working collaboratively with other administrators
Duties/Responsibilities:

SCHEDULING
Develop appropriate schedules with input from coaches (league, non-league, all levels, V, JV, FR & MS
Follow all MIAA requirements for scheduling, rosters and scores
Notify transportation, officials and coaches of inclement weather
Arrange for transportation for all teams to away games
Oversee assignment of officials and process all pay vouchers
Verify officials on arbiter daily for all games
Verify schedules with other schools and league
Coordinate field preparation with Facilities Department
Coordinate rescheduling of games (notify coaches, other team, bus, officials, trainer and facilities)
COACHES
Schedule preseason meeting for coaches and parents to effectively communicate expectations for same
Respond to emails/calls from parents
Respond to any issues that arise; follow up on all concerns
Execute all requirements and submit necessary reports for the following regulations: eligibility, concussion, hazing, Duty to Warn, coaches’ education, CPR/AED certification
RECRUITING, HIRING and PAYROLL
Post all positions
Coordinate hiring process for all positions
Coordinate the recruitment, selection and evaluation of all coaching positions.
Maintain coaches list for each season
Submit coaches list with stipends for first and second half of year to payroll
Submit hiring paperwork (CORI, application) to HR Office
Collect and process officials’ vouchers
Recruit, hire and assign all game staff and site administrators
Submit paperwork for site administrators
Submit paperwork for game staff
BUDGET
Develop, implement and monitor athletic annual budget
TEAM
Collect all equipment and uniform needs
Process all purchase orders
Arrange for the following: practice sites, rain plan, cooperative teams, waivers for middle schools, Form 200 and eligibility.
Direct athletic events and assign site administrators as needed
Comply with all Title IX mandates
Develop and support intramural activities
PERMITS
Oversee schedules and permits for fields and facilities
Coordinate with school facilities regarding permitting and use of fields and facilities
LEAGUE
Attend the following meetings: Dual County League AD, District A, pre/post-season football, pre/post-season basketball
Support coaches in end of season activities
MAINTENANCE
Oversee proper maintenance of Leary Field and Harding Field
Oversee proper maintenance of field and sports equipment
OTHER DUTIES/RESPONSIBILITIES
Through effective communication builds relationships with coaches and the community in general
Demonstrates professional growth and self-improvement
Develops positive school-community relations
Performs other duties as directed by the Superintendent
Salary: Individual Contract
Salary Commensurate with Experience in the range of $140,000-$155,000 for 210 days
