Position Summary:The Accounting Specialist will play a crucial role in ensuring the accuracy and integrity of our financial records. This position requires a strong understanding of accounting principles, attention to detail, and excellent analytical and problem-solving skills. The successful candidate will collaborate with various departments to support financial reporting, budgeting, and forecasting activities.
Essential Duties/Responsibilities:
- Process checks requests and expense reports regularly.
- Accurately review, code, and process vendor invoices.
- Verifies and posts details of business expense transactions.
- Facilitates payment of vendors, which may include verification of federal ID numbers.
- Review purchases and resolve discrepancies.
- Ensures outstanding obligations are credited upon payment, identifies discount opportunities, and issues purchase order amendments or stop-payment orders as needed.
- Maintain vendor accounts while staying in compliance with company policies and procedures.
- Perform data entry associated with accounts payable and expenses.
- Audit and process credit card bills
- Address and respond to vendor inquiries.
- Maintain A/P Aging up to date.
- Identifying vendors for 1099-NEC requirements and other related IRS Required Reportable Forms
- Identify reportable purchases for Sales & Use State Tax Purposes (or similar reporting requirements)
- Preparation of monthly expense budget, financial forecasts, and report variances.
- Fixed assets and Inventory accounting and reporting.
- Compile and sort documents to substantiate business transactions.
- Maintain accurate and updated cost center reports.
- Analyze payroll and allocate to cost centers as needed.
- Calculate Overhead costs.
- Performs other duties as assigned.
Skills/Abilities:
- Bilingual (Spanish) written/oral is preferred.
- Excellent attention to detail and accuracy, with the ability to identify and resolve discrepancies effectively.
- Strong analytical and problem-solving skills, with the ability to think critically and provide insightful recommendations.
- Effective communication skills, both verbal and written, with the ability to present financial information to non-financial stakeholders.
- Ability to work collaboratively in a team environment and manage multiple priorities with strict deadlines.
- Able to exercise good judgment.
- Ability to maintain confidentiality.
- High level of MS Office Suite/Google Suite, including Word, Excel, Google Docs, Google Sheets, etc.
Education/Experience:
- Bachelor's degree in Accounting, Finance, or a related field.
- Proven experience (5 years preferred) as a Staff Accountant or similar role, with increasing responsibilities and exposure to complex accounting tasks.
- Strong knowledge of accounting principles, including GAAP.
- Proficient in financial analysis, forecasting, and budgeting techniques.
- Proficient in using accounting software and ERP systems (e.g., QuickBooks).
- Advanced proficiency in Microsoft Excel, including the ability to create complex spreadsheets and perform data analysis.
