What are the responsibilities and job description for the Assistant Production Manager position at Ward Communities, LLC?
BASIC FUNCTION
To assist the Production Manager with the administration in the construction of new homes as designed, of high quality, on time, on budget and with a high degree of customer satisfaction. The Assistant will also be responsible for the oversight of the Warranty Department
AUTHORITY
· Provide input to the Production Manager to help him/her to manage and conduct performance reviews for the Production department.
· Provide input and assist with recruiting, selection, management and termination of subcontractors, staff and suppliers as needed.
· Maintain/Re-establish policy of giving as much new work to existing vendor base provided they meet quality and timeliness standards at competitive pricing. Personal contacts by a manager to existing vendors who do not get new jobs.
· Assist in the authorization of necessary expenditures as they pertain to field operations. Expenditures, which will exceed the Production Department’s budget, require approval from the President.
· Make purchase order decisions for the department for amounts up to $1,000. All others to be approved by the Production Manager.
ESSENTIAL DUTIES AND RESPONSIBILITIES
· Uphold the company values and adopt the company habits. Know the company vision, mission, objectives, and continually communicate and reinforce these to employees.
· Assist in oversight of all field personnel which includes the Supervisors, Laborers and Punchout Technicians.
· Oversee the Warranty department which includes supervising the Warranty department staff.
· Assist in the development of training programs for continuous improvement and education in construction techniques and materials.
· Assist in the arbitration of any buyer concerns and issues in the best interest of the Company and the customer.
· Maintain a filing system for control of all customer lists, warranty calls, correspondence and work orders by homeowners, per project..
· Participate in the development and manage the enforcement of construction specifications and scopes of work
· Follow up on customer feedback to achieve high levels of satisfaction.
· Make follow-up phone calls to Warranty service customers regarding their completion lists.
· Oversee the scheduling of all field warranty service.
· Deliver homes on budget and on time.
· Contribute to cost reduction programs through improved quantity take-offs, improved field control, and value engineering.
· Develop relationships with subcontractors committed to reducing costs and increasing service.
· Assure high quality of homes – help establish standards/specifications/scopes of work and deliver homes that meet them.
· Review purchase orders and invoices for accuracy before being submitted to the Production Manager for approval.
· Approve warranty service staff timesheets.
· Identify and suggest solutions to company weaknesses and problems.
· Help generate necessary technical information (land/product/specification evaluation) to help guide the company in its decision making.
· Solve problems proactively.
· Continually improve industry knowledge (training and networking).
· Establish and enforce warranty guidelines. Familiarization with the Quality Builders Warranty (QBW) program.
· Continuous improvement and monitoring of the construction process.
· Assure that pre-sold inventory and inventory homes are regularly inspected for presentation, correctness (built as specified), security and maintenance.
· Assist in the establishment of and maintain a safety program, which meets OSHA/MOSH standards and assures safety of employees, subcontractors, and others.
· Recommend and help maintain effective compensation and bonus programs that reward field personnel that assist the company in achieving goals.
· Recommend revisions of working drawings where needed.
· Contribute back to the industry and community (Participate in Homebuilders and other Industry and Community Organizations and event).
· Effectively represent the firm in local, civic, political and industry activities and generate positive public relations opportunities.
· Administer self-improvement program providing for both professional and personal development.
· Familiarity with purchase agreements for finished lots.
· Mediate disputes between Supervisors and subcontractors/suppliers when needed, under the guidance of the Production Manager.
· Conform with and abide by all regulations, policies, work procedures and instructions
· Conform with all safety rules and use all appropriate safety equipment
Qualifications/Requirements
- Strong knowledge of the construction and warranty service process
- Ability to work and interact with departments throughout the organization
- Familiarity with the “QBW”
Job Type: Full-time
Pay: $60,000.00 - $85,000.00 per year
