What are the responsibilities and job description for the Construction Administrator position at WARM, Inc.?
Purpose
The Construction Administrator plays a key role in supporting WARM NC’s federally funded home rehabilitation and modification program. This role supports the Federal Program Director to ensure smooth and efficient application processing, clear communication with homeowners, and timely coordination of services. By providing exceptional administrative support and fostering strong relationships with community partners, this role helps advance WARM’s mission to remove barriers and promote safety, self-sufficiency, and independence for low-income homeowners.
Fulltime. Monday – Friday.
Responsibilities
- Manage daily operations to ensure the successful implementation of the OAHMP (Older Adult Home Modification Program) grant.
- Coordinate effectively with the occupational therapist, program manager, construction team, contractors, and suppliers to maximize the number of homeowners served.
- Support the application approval process for the OAHMP grant by collecting and accurately processing required homeowner documentation.
- Ensure client confidentiality is maintained throughout all stages of the process.
- Manage homeowner records and grant-related documentation in Salesforce with accuracy and attention to detail.
- Refer clients to appropriate partner agencies and community resources as needed.
- Represent WARM at community expos, resource fairs, and partner meetings to strengthen outreach and collaboration.
- Coordinate with other rebuilding agencies to address client needs and enhance service delivery.
- Maintain and regularly update the agency resource list within Salesforce.
- Keep WARM staff informed of relevant partner activities and opportunities for collaboration.
- Participate in home visits with the Program Manager as needed.
- Perform additional duties as assigned to support the success of the program and organization.
Required Attributes and Skills
- 2- 3 years of project coordination or administrative experience in a professional office setting.
- Strong computer proficiency, including data entry, internet research, and Microsoft Office applications.
- Exceptional attention to detail and a process-driven mindset with a focus on accuracy and follow-through.
- Excellent written and verbal communication skills.
- Demonstrated ability to be flexible, proactive, and responsive in a fast-paced environment.
- Ability to take initiative and lead processes when needed.
- Commitment to excellence, integrity, collaboration, and professionalism.
