Executive Assistant Position Overview
WARM (We All Really Matter) is a not-for-profit organization of domestic violence survivors along with their allies who are committed to ending violence against women and children in the Harlem community. Our primary goal is to empower survivors through a holistic approach, focusing on the mind, body and spirit. WARM seeks a full-time executive assistant to the WARM CEO, helping the CEO to carry out WARM’s vision of interrupting the cycle of violence in the Harlem community and beyond.
This position requires the applicant to be able to work in a high-energy, fast-paced office. They would be the eyes and ears of WARM’s CEO and be committed to professionalism, loyalty and confidentiality. They would be able to stand in for the CEO in various situations, at a moment’s notice, if necessary. The Executive Assistant must have excellent communication skills, both in writing and speaking, as well as proficiency in a variety of Microsoft, Word and Social Media platforms. Attention to detail, and ability to multitask a must.
Tasks include:
- Prepare a daily agenda
- Mandatory daily check in with CEO
- Schedule weekly check in with CEO
- Organizes meetings
- Answers and screens CEO’s phone calls and take detailed messages
- Manages Ms. McGraw's email (Key Component)
- Manages CEO’s calendar
- Manages Fundraising calendar
- Book Rooms at WARM for conferences
- Oversee Team meetings
- Drafts letters and memos for CEO’s signature
- Maintains accurate records
- Follows up on outstanding issues
- Provide administrative support to ensure a smooth running office
- Manage Partnership Relationships
- Completes minor contract related accounting duties
- Provides support at Board of Directors Meetings
- Maintain Office Files
- Participate in Candidate hiring process
- Attend to any/all other duties as needed
- Provides support for all emergency client intakes/etc.on demand
- Manages the CEO’s schedule
Qualifications:
- Associate Degree, preferably in Business
- Two years or more similar experience
- Strong writing skills
- A strong proficiency in Microsoft Office Suites, including PowerPoint, Outlook, Excel, Word, Adobe Acrobat and Social Media
- Strong multi-tasking, detail oriented and organizational skills
- Comfortable using video-conferencing platforms like Microsoft Teams and Zoom
Salary: $70,000
Job Type: Full-time
Pay: $65,000.00 - $70,000.00 per year
