Job Summary: We are looking for an energetic, organized, and customer-oriented Front Desk Receptionist to join our team. As the first point of contact for clients, visitors, and team members, you will play a critical role in creating a welcoming and professional environment. This position requires fluency in both Spanish and English to effectively communicate with our diverse client base and staff. Additionally, you will assist new applicants with completing their applications (online or manually), request copies of their documents, explain the hiring process, and forward this information to Human Resources. You will also be responsible for training new employees in designated areas, explaining cleaning processes, and the proper use of products according to company guidelines.
Key Responsibilities:
Reception and Client Interaction:
? Greet visitors, clients, and staff in a courteous and professional manner, ensuring they feel welcomed and attended to.
? Manage a single-line phone, directing calls to the appropriate department and taking detailed messages when necessary.
? Provide accurate information about the company, its services, and scheduling in both Spanish and English.
Applicant Support and Onboarding:
? Assist new applicants in completing their applications either online or manually. ? Request and verify copies of required documents from applicants.
? Explain the hiring process, including timelines and next steps, before forwarding applications to Human Resources.
? Conduct training sessions for new employees in the designated training area, explaining cleaning procedures and the proper use of cleaning products in compliance with company policies.
Administrative Support:
? Schedule and confirm appointments, ensuring proper coordination with relevant team members.
? Organize and maintain a clean and presentable front desk and lobby area.
? Handle incoming and outgoing mail, deliveries, and courier services.
? Manage office supplies inventory for the front office, ordering as needed to ensure operational efficiency.
Document Management:
? Perform clerical duties such as filing, scanning, and copying documents.
? Update and maintain accurate client and visitor records in the company database.
? Assist with preparing reports, correspondence, and other documentation as required.
Customer Service Excellence:
? Address and resolve visitor and client concerns promptly and effectively.
? Foster positive relationships with all clients, vendors, and team members through professional communication and service.
Qualifications and Skills:
? Language Skills: Fluent in Spanish and English, both written and spoken, with excellent grammar and vocabulary in both languages.
? Experience: At least 1-2 years of experience in a front desk, receptionist, or administrative support role.
? Education: High school diploma or equivalent is required; additional education or certification in office administration or customer service is a plus.
? Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment such as printers, scanners, and phone systems.
