The Office Coordinator is responsible for providing administrative support and coordination in support of the Dean and the School of Law (SOL). This position requires a commitment to delivering high levels of service, effective communication and organizational skills, and the ability to exercise sound judgment in various situations. The Office Coordinator performs various administrative activities requiring advanced knowledge and skills with in-depth knowledge of program policies, procedures, and information systems to communicate and process information. The Coordinator must maintain the confidentiality of all financial, employee, and student records.
Essential Functions :
- Provide administrative support to the Dean’s Office, which includes the SOL Dean, Associate Dean for Academic Affairs, and Associate Dean for Student Affairs. Act as backup administrative support as needed by other offices within the SOL, including the Centers for Excellence, the Professional Development Office, Admissions, and faculty administrative support. This support includes managing calendars, scheduling appointments and meetings, answering phones, assisting visitors, reviewing and controlling incoming / outgoing correspondence and operational commitments and deadlines. Responsible for prioritizing the needs and competing demands of different departments within the SOL.
- Complete financial tasks following University policies, regulations, and procedures, including but not limited to :
- Completing appropriate forms to initiate purchases, payments, and reimbursements for travel expenses, equipment, student organizations, and / or services provided to the SOL;
- Monitor SOL travel card expenditures and process appropriate accounts for payment;
Compile data to create reports that provide information for budget analysis, planning, and assistance with budget preparation; and
Coordinate purchase and inventory of office supplies for the SOL.
