The Division of Pediatric Anesthesiology within the Department of Anesthesiology at Washington University School of Medicine is seeking a full time Administrative Coordinator I. In this exciting opportunity, you will join a thriving and dedicated group of 31 Pediatric Anesthesiologists, 25 CRNAs, 1 Pediatric Anesthesiology Fellow, 5 Nurse practitioners and 4 Administrators with a unified focus on excellence in patient care and innovation. This group provides clinical care at the nationally ranked St. Louis Children’s Hospital, the Shriners Hospital for Children and the Children’s Specialty Care Centers in West and South Counties.The Administrative Coordinator plays a critical role in the success of this team, who work together to provide exceptional care to pediatric patients. Job Description
Primary Duties & Responsibilities:
- Manages creation and distribution of daily schedule in operating room and non-operative sites as well as recruit’s faculty and CRNAs during staffing shortages. Enters all resident and fellow schedules into scheduling software
- Supports Division Administrator with day-to-day scheduling reporting.
- Supports Division Administrator with onboarding new faculty, CRNAs, and staff.
- Supports clinical director and the St. Louis Children’s Hospital perioperative medical director by providing necessary support and coordination for schedules, appointments, lectures/meetings.
- Coordinates medical student and outside learner program rotations; prepares correspondence, materials for meetings and presentations, set-up, scheduling, evaluations and all other tasks related to rotators.
- Manages all scheduling processes for the Pediatric Anesthesiology conference rooms; establishes process to ensure minimal disruptions with effective communication and resource allocation to department administration; handles and resolves any issues that arise and needs to be addressed.
- Answers incoming calls to the Division of Pediatric Anesthesiology main number and routes appropriately or provides information in accordance with organizational policy.
- Oversees duties and personnel related to mail delivery and pick-up for Division of Pediatric Anesthesiology.
- Manages cell phone allocation; responsible for maintaining all lists as it relates to cell phone numbers.
- Manages ordering and delivery of supplies and lab coats (with appropriate fund allocation) for the division of Pediatric Anesthesiology.
- Handles facility management (coffee machine, water machine, paper, supplies, division lunches).
