Watch Hill Yacht Club – Accounting Administrator
The WHYC is a seasonal club with a heavy focus on member activities in the summer months where the visibility and participation of the General Manager is essential for the operation. The Clubhouse is a unique on-the-water location containing a 60 seat dining room and 25-seat bar. The club is open from May through November offering lunch and fine dining 5 days per week during the peak season, with daily bar service.
Reports to: General Manager
Supervises: No supervisory duties are included in this position
Education and/or Experience
· Bachelor's degree in Accounting, Finance or related field required; CPA or equivalent certification preferred
- Minimum of two years accounting or bookkeeping experience, including accounts payable, accounts receivable, payroll, general ledger, and financial reports.
Job Knowledge, Core Competencies and Expectations
- Ability to operate computer and other general office equipment
- Ability to multitask and prioritize workload in a fast-paced environment
- JONAS Software experience is highly desirable.
- Strong analytical skills with the ability to interpret financial data and trends.
- Knowledge of relevant accounting principles and regulation
- Microsoft Office suite including Access
- Adobe Acrobat and InDesign
Job Summary (Essential Functions)
- Creates financial transactions and generates financial reports from that information. The creation of financial transactions includes posting information to accounting journals or accounting software from source documents as invoices to members and guests and vendor invoices. The bookkeeper also reconciles accounts to ensure their accuracy.
Job Tasks/Duties
· Oversee the accounts payable and accounts receivable processes, including invoice processing, payment scheduling and collections
· Review and verify invoices, purchase orders, contracts and other financial documents for accuracy and completeness
· Prepare and analyze financial reports, including aging reports, cash flow projections and reconciliation statements
· Assist with budgeting and forecasting processes, providing insights and recommendations to improve financial performance
· Stay up-to-date on relevant accounting regulations and industry best practices, recommending changes or improvements as necessary
· Maintains journals, checks registers, bank reconciliations, accounts receivable, accounts payable, inventories, general journal, payroll and personnel files, tax reports, depreciation accounts, and financial statements.
· Produces computer reports including accounts receivable, accounts payable, general ledger and monthly financial statements.
· Maintains employees’ time and attendance and processes payroll.
· Administers the billing and collection of membership dues.
· Provides administrative support as needed.
· Creates and mails monthly billing for members and responds to members’ questions regarding billing.
